Front Office Receptionist:

Minimum one year experience in a medical office is a must.

EVENING SHIFT (Mon.-Thurs. :10 AM – 7 PM, Fridays: 8 am – 5 pm)

I. Job Description

The main duties of a medical office specialist include scheduling appointments, answering phone inquiries, assisting patients with the check-in and check-out process, handling medical records and verifying patient registration and insurance information.

II. Responsibilities
1. Welcomes patients and visitors by politely greeting them, whether in person or on the telephone.
2. Answer all incoming calls and route them to the appropriate staff.
3. Optimizes patient’s satisfaction, provider time and treatment room utilization by scheduling appointments appropriately.
4. Check in patients according to company protocols and collect all necessary documentation.
5. Generate a super bill for each patient and assure that all patients have been checked out properly with necessary appointments.
6. Collects deposits or co-pays/deductibles prior to the patient being seen by the provider per established policies and procedures. Inform patient of their outstanding balance, collect said balance, and issue cash receipt when monies are collected.
7. Keeps patient appointments on schedule by notifying provider of patient’s arrival; reviewing service delivery compared to schedule; reminding provider of service delays.
8. Coordinate patient’s scheduled appointments between physicians, specialists, radiology department, and/or others as necessary.
9. Files paperwork, medical records and correspondence.
10. Comforts patients by anticipating patient’s anxieties; answering patients’ questions; maintaining a calm reception area.
11. Ensures availability of treatment information by filing and retrieving patient records.
12. Work closely with Medical and Nursing staff to assure smooth patient flow and cut down on waiting time.
13. Call and remind patients of his/her appointment.
14. Follow up on “no show” patients on a daily basis.
15. Maintains and updating patients personal and financial information.
16. Protects patients’ rights by maintaining confidentiality of personal and financial information.

17. Maintains operations by following policies and procedures; reporting needed changes.
18. Communicates patient’s problem/complaint to the office manager or his/her designee.
19. Helps maintain inventory of office supplies and printed forms.
20. Makes sure that discrepancies of end of day processes are corrected before turned in to billing department.
21. Reports any front office incidents whether it’s with patients, providers, employees or office visitors to administration.
22. Maintains safe and clean reception area by complying with procedures, rules and regulations.
23. Contributes to team effort by accomplishing related results as needed.
24. Other duties as requested by management.

III. Qualifications/ Skills

High School Diploma or equivalent

Minimum one year experience in a medical office is a must.
Multi-tasking, Flexible schedule, Telephone etiquette, Excellent Customer Service, Time management, Organization, Attention to detail, Scheduling, Word Processing, Professionalism

Job Type: Full-time

Pay: $10.00 – $11.00 per hour
