Medical Front Desk / Patient Coordinator – Optometry
Full-time | Spring, Texas | $19–$22 per hour, depending on experience
We are seeking an experienced, dependable, and professional Medical Front Desk and Patient Coordinator to manage the front desk of a successful private optometry practice.
The ideal candidate will efficiently manage the daily appointment schedule, verify insurance benefits, coordinate care with outside clinics, and ensure that patient information and paperwork are completed and entered accurately into the electronic health record.
This position also handles copays and coinsurance, patient check-in and checkout, phone and electronic communication, and routine contact-lens dispensing or minor optical assistance as needed. The right person must be able to maintain a calm, helpful, and positive attitude during busy periods while keeping close attention to detail.
We provide our patients with exceptional, personalized eye care. As part of our team, you will help patients prepare for their examination, guide them through their visit, and assist with necessary follow-up afterward.
You will greet each patient with a friendly and professional demeanor while demonstrating the confidence, knowledge, and attention to detail our patients have come to expect.
Duties and Responsibilities
- Provide excellent service to every patient, whether in person, by telephone, text, or email
- Greet patients and manage check-in and checkout
- Answer and manage a multiline telephone system
- Schedule appointments using the correct appointment type and allotted time
- Maintain an accurate and productive daily appointment schedule
- Confirm appointments and assist with patient recall and overdue scheduling
- Verify medical and vision insurance eligibility and benefits
- Calculate and communicate copays, coinsurance, and estimated patient responsibility
- Collect and accurately record cash, check, and card payments
- Ensure that patient demographic, insurance, and clinical paperwork is complete
- Enter and maintain accurate information in the electronic health record
- Coordinate referrals, records, and care with outside clinics and providers
- Monitor messages, pending requests, and assigned tasks through completion
- Provide clear and complete handoffs to technicians, opticians, and the doctor
- Assist with routine contact-lens dispensing and minor optical services when needed
- Maintain an organized and welcoming reception area
- Help resolve patient concerns rather than allowing them to remain unfinished or be passed between team members
- Maintain a professional and positive atmosphere during busy or stressful periods
Requirements and Qualifications
- High school diploma or GED required
- At least two years of medical front-office experience required; three or more years preferred
- Prior experience in an optometry or ophthalmology office strongly preferred
- Experience with insurance verification, copays, coinsurance, and patient scheduling
- Comfortable using electronic health records, insurance portals, email, and multiline telephone systems
- Strong verbal and written communication skills
- Friendly and professional demeanor
- Dependable attendance and punctuality
- Ability to multitask while maintaining accuracy and attention to detail
- Willingness to learn unfamiliar systems and take ownership of finding answers
- Ability to remain calm and courteous when the office is busy
- Ability to work cooperatively across roles and assist wherever needed for patient care
- Availability for a full-time, in-person schedule and rotating Saturdays

Compensation is $19–$22 per hour, depending on relevant experience, insurance knowledge, optometric experience, and demonstrated ability.
