Within the company, the Management Assistant Community consists of approximately 220 management assistants supporting more than 500 managers. As the organization continues to grow rapidly, so does the need for strong support for senior leadership.

Role and Responsibilities
As a Senior Management Assistant, you act as a trusted business partner to senior managers. You provide structured and proactive administrative support, using initiative, discretion, and confidentiality to ensure effective and efficient execution of management support activities. You serve as a key link between managers, colleagues, and various departments.
You take ownership of your work, demonstrate a strong drive for results, and remain determined when facing challenges. You actively look for opportunities to improve service delivery and independently manage expectations to meet both current and future needs of managers. By maintaining a broad overview, you identify process improvements and continuously seek more effective ways of working in a fast-changing international environment.
Your responsibilities include, but are not limited to:
Calendar & Meeting Management
Efficiently manage complex calendars for senior managers. Schedule meetings and arrange rooms and required facilities.
Email Management
Proactively screen and organize inboxes. Respond to emails where appropriate, filter actionable items, and highlight priority topics to managers.
Communication
Distribute announcements, newsletters, and reports. Act as the first point of contact for internal and external inquiries directed to assigned managers or departments. Maintain communication with stakeholders, visitors, customers, suppliers, and external partners.
Facility Services
Support office operations such as visitor registration, reception coordination, and floor management.
Travel & Expense Management
Coordinate complex international travel across multiple time zones, anticipate needs, and make decisions where required. Prepare and process travel expense reports.
Meeting Preparation and Participation
Organize and coordinate meetings, workshops, and events for departments or managers. Record and distribute minutes and action lists.
Project and Annual Planning Support
Participate in assigned projects and maintain an overview of departmental plans, activities, and priorities to ensure smooth information flow and high-quality support.
Event Management
Assist in organizing departmental events. Provide project management support for the planning and execution of events such as technology days, manufacturing days, or all-employee meetings.
Education and Experience
- Bachelor’s degree or a comparable level achieved through work experience.
- Medior: At least 3 to 7 years relevant experience as a management assistant or in a similar supporting role in an international environment
- Junior: At least 1 to 2 years relevant experience as a management assistant, aligning and planning complex agenda
- Fluent in both written and spoken English.
- Proven experience managing complex international calendars is required.
- Experience in a dynamic international environment with multiple stakeholders is strongly preferred.
