Job Summary
As a Lobby Executive Receptionist in the Lobby Reception team, you will help create exceptional experiences for employees, clients, and visitors.
You will manage the day-to-day operations of the Lobby Reception and serve as the first point of contact for employees, visitors, and clients. This position supports employee, visitor, and guest services across the Lobby Reception, Conference Center, and Lobby Coffee Bar (when applicable), while delivering exceptional customer service and maintaining a professional workplace environment.
Job Responsibilities
- Coordinate employee, visitor, and host requirements before guest arrival and communicate updates to relevant stakeholders.
- Welcome and register guests in accordance with building security and visitor management procedures.
- Serve as the first point of contact for telephone, email, and general reception inquiries.
- Support Conference Center operations, including booking inquiries and meeting and event coordination as needed.
- Build and maintain strong working relationships with meeting planners, internal administrators, building personnel, and other stakeholders.
- Act as a Culture Carrier by promoting Global Amenity Services brand standards and delivering exceptional guest experiences.
- Handle customer complaints, lobby desk escalations, and service issues, ensuring timely resolution and communication.
- Maintain knowledge of building amenities, services, and scheduled meetings and events to support employee, visitor, and client inquiries.
- Ensure visitor registration records are accurate, up to date, and compliant with operating procedures.
- Maintain a clean, organized, and professional reception environment, including support for the Lobby Coffee Bar where applicable.
- Prepare and maintain operational reports, MIS reporting, and guest history records.
Required Qualifications, Skills And Capabilities
- Minimum 3 years of experience in a high-end client-facing reception, front office, guest services, hospitality, travel, or related customer service environment.
- Professional appearance with the ability to present a polished image and consistently adhere to uniform guidelines.
- Excellent written and verbal communication skills.
- Hands-on experience using office equipment, including laptops, printers, and related technology.
- Experience with administrative and clerical procedures, with strong organizational and time management skills.
- Ability to work collaboratively within a team environment and support various operational tasks as required.
- Strong customer service, problem-solving, and interpersonal skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Willingness to work flexible shifts and support multiple reception locations as business needs require.
Preferred Qualifications, Skills And Capabilities
- Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
- Experience with visitor management or meeting room booking systems (e.g., EMS) and supporting conference center, workplace, hospitality, or executive reception environments.
