A respected and long-established Southern California law firm is seeking an experienced Litigation Legal Assistant / Legal Secretary to support a busy litigation practice. This position offers the opportunity to work alongside experienced attorneys on a broad range of complex litigation matters in a fast-paced, professional environment.

The Role

The successful candidate will provide high-level administrative and litigation support to attorneys managing active caseloads. Key Responsibilities

Litigation & Document Management

  • Draft, proofread, format and finalise pleadings, motions, subpoenas, notices, briefs, correspondence and other legal documents
  • Prepare filings for state, federal and appellate courts
  • Manage electronic filing and service of court documents
  • Maintain litigation calendars, court deadlines and discovery schedules
  • Coordinate document production and case file management

Administrative Support

  • Manage attorney calendars and scheduling
  • Coordinate depositions, mediations, hearings and client meetings
  • Open new matters, process conflicts checks and maintain client records
  • Handle correspondence, phone calls and general administrative tasks

Client & Attorney Liaison

  • Serve as a key point of contact for clients, courts, opposing counsel and vendors
  • Support attorneys in meeting litigation deadlines and client expectations
  • Maintain the highest levels of professionalism and confidentiality

Qualifications

  • Minimum 5 years’ litigation legal assistant or legal secretary experience
  • Strong knowledge of California court procedures and litigation practice
  • Extensive experience with state and federal e-filing systems
  • Proficiency with Microsoft Office Suite, including advanced Word formatting
  • Excellent organisational, communication and time-management skills
  • Strong attention to detail and ability to manage multiple priorities simultaneously
  • Experience with legal document management and calendaring systems
  • Knowledge of ProLaw, Worldox or similar systems is advantageous
