A respected and long-established Southern California law firm is seeking an experienced Litigation Legal Assistant / Legal Secretary to support a busy litigation practice. This position offers the opportunity to work alongside experienced attorneys on a broad range of complex litigation matters in a fast-paced, professional environment.
The Role
The successful candidate will provide high-level administrative and litigation support to attorneys managing active caseloads. This is an ideal opportunity for a detail-oriented legal professional who thrives under pressure, takes pride in their work, and can effectively manage competing deadlines.
Key Responsibilities
Litigation & Document Management
- Draft, proofread, format and finalise pleadings, motions, subpoenas, notices, briefs, correspondence and other legal documents
- Prepare filings for state, federal and appellate courts
- Manage electronic filing and service of court documents
- Maintain litigation calendars, court deadlines and discovery schedules
- Coordinate document production and case file management
Administrative Support
- Manage attorney calendars and scheduling
- Coordinate depositions, mediations, hearings and client meetings
- Open new matters, process conflicts checks and maintain client records
- Handle correspondence, phone calls and general administrative tasks
Client & Attorney Liaison
- Serve as a key point of contact for clients, courts, opposing counsel and vendors
- Support attorneys in meeting litigation deadlines and client expectations
- Maintain the highest levels of professionalism and confidentiality
Qualifications
- Minimum 5 years’ litigation legal assistant or legal secretary experience
- Strong knowledge of California court procedures and litigation practice
- Extensive experience with state and federal e-filing systems
- Proficiency with Microsoft Office Suite, including advanced Word formatting
- Excellent organisational, communication and time-management skills
- Strong attention to detail and ability to manage multiple priorities simultaneously
- Experience with legal document management and calendaring systems
- Knowledge of ProLaw, Worldox or similar systems is advantageous
