Position: LEGAL SECRETARY
Legal Secretary
Washington County, located in West Bend, Wisconsin, has an excellent opportunity for a Legal Secretary within our County Attorney/Child Support Department. This position is responsible for preparing and processing a variety of legal documents and provides secretarial support to the department.
Normal Business Hours will be 8:00 am – 4:30 pm Monday – Friday.
Starting hourly rate is $23.72; pay based on experience.

Duties/Responsibilities
- Generates correspondence and limited legal documents from information in agency files or with guidance from Child Support Specialist, which may contain confidential material.
- Processes a variety of correspondence and other legal documents to the court in support of the information and documentation needed for case files including e‑file cases. Testifies in court as needed.
- Makes appropriate copies of documents and distributes them to participants, Attorneys and other county agencies.
- Personally serves individuals with court actions in office or generates documents to send papers out to a process service; monitors timelines; e‑File the Affidavits.
- Receives and dispenses information to the general public, other departments, and other states’ agencies in response to telephone inquiries, written inquiries, or personal visitations.
- Enters and updates extensive data into the KIDS State Computer System, as well as Agency case files.
- Ensures physical files are up to date with changes from the KIDS System, and that document copies are labelled appropriately within the file.
- Responsible for maintaining an individual worklist and assists Paternity and Enforcement Caseworkers with theirs.
- Schedules appointments for Caseworkers.
- Accesses the CARES State Computer System to obtain needed child information as well as to determine changes of address and/or telephone number for case recipients.
- Responsible for obtaining and/or verifying information from various sources, including but not limited to employers, hospitals, correctional facilities, probation/parole officers, other state agencies, and employers needed to properly maintain case file information.
- Performs locate on case participants using various local, state, interstate and federal resources.
- Maintains position procedural binder.
- Provides coverage for the Front Desk/Reception area to include answering phone calls, handling walk‑ins, processing mail, e‑Filing notifications, and all associated tasks.
- Performs other miscellaneous support duties, as required.
- Performs other duties as assigned, including responding to an emergency event.
Work Direction
Works under the general direction of the Child Support Supervisor.
Interaction
There is significant interaction with other County departments, the public, and others outside of the organization.
Essential Knowledge and Abilities
Knowledge of legal terminology, modern office methods and practices, applicable state and local laws, rules and regulations affecting the conduct of the department, and court procedures. Ability to maintain accurate records, prepare accurate reports, communicate effectively orally and in writing, and interact effectively with co‑workers and other staff. Able to fulfil physical demands of the job, sensory demands (seeing and hearing), and cognitive demands (concentration, conceptualisation, memorisation).
Training
and Experience
High School Diploma/GED with one (1) year of post‑high‑school education with courses in an administrative or legal professional programme and three (3) years of office experience of which one (1) year has been in a legal setting. Also computer proficiency. Keyboarding ability at 50 words per minute.
