At Oldham Law PLLC, we provide personalized legal services tailored to our clients’ needs. Our firm handles a broad range of matters including real estate law, business law, bank representation, criminal defense, estate planning, probate, personal injury, contract reviews, and civil disputes. We are seeking a professional, organized, and personable Legal Assistant to serve as the first point of contact for prospective and existing clients.
This role is critical to creating a welcoming client experience while supporting the daily operations of a fast-paced law firm.

Candidates should have general legal office related experience preferably with transactional legal practice, client intake, scheduling and administrative tasks.

JOB DESCRIPTION:

  • Possess a high degree of organization and scheduling skills with the ability to manage administrative and logistical aspects of projects independently.
  • Answer incoming calls, direct inquiries appropriately, and assist with client follow-up communications. Maintain professionalism, empathy, confidentiality, and strong customer service at all times.
  • Possess a working knowledge of Microsoft Office, including extensive knowledge of Outlook, Word, and Excel. Experience working with law firm case management and billing software preferred.
  • Coordinate and communicate with clients, opposing counsel, and court personnel in a professional and courteous manner.
  • Experience providing administrative support to multiple attorneys, with a sustained record of high-quality work from inception to resolution, including, but not limited to, the ability to manage multiple tasks in a timely manner.
  • Working with experienced paralegals with the preparation of legal documents.
  • Provide administrative support to attorneys, including scheduling appointments, managing calendars, and organizing meetings.

REQUIRMENTS:

  • Proven experience as a Legal Secretary or in a similar administrative role within a law firm environment.
  • 3+ years of law firm experience preferred.
  • Real Estate (transactional) experience required/litigation experience desired.
  • Excellent grammar, spelling, punctuation, and communication skills.
  • Flexible attitude and the ability to deal well with changing assignments and priorities.
  • Strong organizational skills with the ability to manage multiple projects simultaneously.
  • Familiarity with Florida E-Filing System, JAWS, and Electronic Public Record Recording.

Core work hours are from (8:30am – 5:00pm)
