Introduction: Chicago Apartment Place, Inc. is a property management company located in the Lakeview area on the north side of Chicago. We are looking for a Leasing & Marketing Assistant and Tenant Services Coordinator to join our team. The position will pay $25/hour, based on experience and qualifications.
Summary: The Leasing and Marketing Assistant is responsible for actively marketing our listings and providing excellent customer service to tenants and prospective tenants throughout the application and leasing process. Primary responsibilities include various leasing and marketing tasks and assisting with incoming calls, texts, emails, and visitors, while providing clerical and administrative support to the leasing and marketing department. This position will be responsible for ongoing tenant services, promoting good working relationships, and ensuring tenants are having a positive experience.
Schedule:
- This position is full-time at 40 hours per week; Monday – Friday 9:00 am – 5 pm (or similar);
- This position is fully in the office and/or on-site and is not remote.

Duties and Responsibilities:
Leasing and Marketing:
- Answer multiple phone lines and handle calls;
- Check and respond to voicemails and emails;
- Set up leasing appointments via phone, text, and email;
- Advertise our listings on all our marketing platforms and assist with marketing strategies;
- Prepare, process, and complete paperwork and leases and enter these into our systems;
- Assist prospective tenants throughout the application and lease signing process;
- Assist with our move-out and move-in procedures and inspections;
- Prepare and maintain content for online listings and social media;
- Prepare and distribute marketing flyers throughout our properties;
- Inspect properties and apartments for rent;
- Show apartments to prospective renters as needed;
- Change locks and prepare keys;
- Train seasonal leasing and marketing assistants each year;
- General office tasks such as filing, scanning, and organizing;
- Perform other tasks and run errands as needed.
Tenant Services:
- Assist with turnover-related tasks and procedures such as coordinating walk-throughs, preparing and collecting checklists, locks and keys, and ensuring a smooth move-in experience for incoming tenants;
- Input, update, and maintain tenant information in building intercom systems;
- Process requests for key cards, fobs, and Brivo mobile pass as needed;
- Investigate and respond to tenant disturbances, violations, and complaints in a timely manner;
- Prepare and deliver building-wide notices, 10-Day notices, and other communications as needed;
- Provide rental verifications for current and former tenants; and
- Perform other duties as assigned by office management and other staff.
Work Environment:
Open loft office environment where problem-solving takes place on a regular basis in collaboration with other departments. Noise level in the office may range from moderate to loud.
This position is fully in office and is not remote. General daily duties occur at our main office. Other duties such as meeting appraisers and inspectors, walkthroughs of apartments with tenants, apartment showings, flyer distribution, and other assignments, may occur outside of the office, generally at the various properties under our management.
Qualifications:
- Ability to communicate effectively both orally and in writing;
- Must have good customer relation skills and ability to interact with the general public;
- Ability to tolerate moderate to high stress situations while remaining cordial and focused;
- Strong attention to detail, accuracy, and thoroughness in all work;
- Ability to contribute and work successfully in a team environment;
- Excellent written skills to independently compose general correspondence, documents, etc.;
- Strong technical skills with an ability to learn and work with a variety of software;
- Highly proficient in social media and Microsoft Office;
- Experience handling a large volume of calls and emails;
- 1-3 years of administrative experience (preferred); and
- Experience in marketing or real estate (preferred).
Essential Job Requirements:
- During the rental season (April 30 to September 1), for purposes of managing apartment turnovers, must have the ability to work evening hours on the last day of the month and work Saturday or Sunday if the last or first day of the month fall on a weekend;
- Ability to perform site visits and run errands which may require travel outside of the office, street parking, going up and down stairs, and being exposed to construction work and varying weather conditions;
- Must have a reliable vehicle for use during all work hours, valid driver’s license, auto insurance and a cell phone;
- Must be able to operate all office equipment including computers, printers, check scanner, key cutting machine, and others as needed;
- Neat, clean, and professional throughout the workday including whenever on any of the properties under management, while representing the company, and at company events; and
- Must treat all persons with integrity, kindness, and respect.
Education and Experience:
- Highly proficient with computers and Microsoft Office software;
- Experience handling a large volume of calls and emails;
- 1-3 years of administrative experience preferred; and
- Real Estate or Sales background preferred.
