Harmony Veterinary Center is seeking an experienced, compassionate, and motivated Lead Veterinary Receptionist to join our growing team. As our Lead Veterinary Receptionist, you will serve as the primary leader of our Client Care Team, ensuring the front desk operates efficiently while maintaining the highest standards of customer service, communication, and teamwork. You will lead by example, coach and develop team members, assist with training, and work closely with hospital leadership to continually improve client satisfaction and daily operations.

Primary ResponsibilitiesLeadership & Team Development
- Lead, mentor, and support the Client Care Team through daily coaching and guidance.
- Assist with onboarding and training of new Client Care Representatives.
- Promote a positive, accountable, and solution-focused work environment.
- Help maintain consistency with hospital policies, protocols, and client communication standards.
- Provide real-time feedback and escalate performance concerns to hospital leadership when appropriate.
- Lead by example in professionalism, compassion, reliability, and teamwork.
Client Experience
- Create an exceptional first and last impression for every client and patient.
- Professionally greet clients while delivering outstanding customer service.
- Handle challenging client situations with empathy, confidence, and professionalism.
- Resolve client concerns whenever possible while maintaining Harmony Veterinary Center’s service standards.
- Build long-term relationships with clients through excellent communication and follow-through.
Front Office Operations
- Answer multi-line phones and electronic communications efficiently.
- Schedule appointments accurately while prioritizing patient care and doctor workflow.
- Process invoices, payments, estimates, and medical records with attention to detail.
- Maintain accurate client and patient information within the practice management software.
- Assist with daily cash handling, balancing, and end-of-day procedures.
- Ensure the reception area remains clean, organized, and welcoming.
Hospital Operations
- Collaborate closely with veterinarians, technicians, and assistants to ensure smooth patient flow.
- Help prioritize appointments and client communications throughout the day.
- Support hospital efficiency while maintaining AAHA standards and Fear Free principles.
- Assist leadership with workflow improvements and implementation of new processes.
- Monitor front desk performance and identify opportunities for increased efficiency and client satisfaction.
Qualifications
- Minimum of 5 years of veterinary client service experience required.
- Previous experience as a Veterinary Receptionist, Client Service Representative (CSR), or Lead Receptionist.
- Prior leadership, supervisory, or mentoring experience preferred.
- Excellent communication, interpersonal, and conflict resolution skills.
- Strong organizational and multitasking abilities in a fast-paced environment.
- High emotional intelligence with the ability to remain calm under pressure.
- Reliable, punctual, and highly dependable.
- Positive attitude with a passion for teamwork and continuous improvement.
- Comfortable providing constructive coaching and accountability.
- Proficient with veterinary practice management software; experience with Pulse is preferred.
Preferred Qualifications
- Experience in an AAHA-accredited hospital.
- Fear Free Certification or Low Stress Handling experience.
- Experience training or mentoring veterinary reception teams.
- Strong understanding of veterinary terminology and common medical procedures.
