The Language Services Coordinator is a dynamic and versatile role responsible for managing various aspects of language interpretation and translation services. Reporting directly to the Language Services Manager, this position ensures seamless coordination of in-office interpretation services and participates in an after-hours rotation for night and weekend coverage. The Language Services Coordinator interacts with customers, clients, and contractors, fostering strong relationships while ensuring exceptional service delivery. This role also involves assisting with translations, data management, and special projects to support the overall goals of the Language Services department.

Responsibilities

– Execute in-office interpretation scheduling and coordination during scheduled hours.

– Provide after-hours interpretation phone coordination, including nights and weekends, to ensure uninterrupted service delivery.

– Assist with covering interpretation appointments, up to 10 hours per week, based on department needs.

– Communicate with customers via email and phone to address inquiries, confirm appointments, and resolve issues.

– Develop and maintain positive relationships with clients and contractors to promote exceptional customer service.

– Address conflicts, complaints, and performance evaluations related to interpreters and translators.

– Assist the Translations Coordinator by working on translations, proofreading, and formatting documents requiring templates.

– Enter walk-in translation data into Salesforce and maintain accurate records.

– Collaborate with the accounting and finance departments to address aged accounts receivables and other billing-related tasks.

– Assist the Interpretation Coordinator with billing and customer account tasks as needed.

– Support the Language Services Manager with projects, coordination, and other department needs.

– Perform general clerical duties, including copying, faxing, mailing, and filing.

– Assist in assessing, recruiting, and hiring new interpreters and translators.

– Support training initiatives to onboard new contractors and maintain service quality standards.

– Perform other duties as assigned and work occasional evenings and weekends as needed.

Qualifications

– Associate degree in Spanish, Business, Humanities, or a related field preferred; equivalent work experience will be considered.

– Minimum of 1 year of professional interpreting or language services experience.

– Bilingual in Spanish and English (oral and written) with excellent grammar and language skills.

– Strong proficiency in Microsoft Office Suite and familiarity with data management systems.

– Proven ability to manage multiple tasks and projects simultaneously under tight deadlines.

– Exceptional communication and interpersonal skills to engage effectively with clients, contractors, and team members.

– Ability to manage after-hours interpretation phone coordination, ensuring prompt and professional responses to urgent requests.

– Highly organized, detail-oriented, and proactive in addressing challenges.

– Commitment to cultural competency and sensitivity when working with diverse populations.

– Flexibility to adapt to dynamic scheduling needs and provide high-quality service at all hours.

Pay: From $20.00 per hour
