ABOUT THIS POSITION

The Public Works Department strives to improve the quality of life in Phoenix through efficient delivery of outstanding solid waste, fleet, facilities, and energy management services.

The Fleet Services Division is looking for an Invoice Support Specialist to process large volumes of various purchase requests; including creating shopping carts, processing goods receipts, statement reconciliation, purchase order liquidations, processing vendor credits, and performing audits of the procurement process and procedures.

This position will be responsible for supporting 18 Service Centers and the Auto Stores with their shopping cart and purchase order needs.


IDEAL CANDIDATE

Proficient in Microsoft Office, including Word, Outlook, and Excel.

The ideal candidate possess:

  • Strong customer services skills in potentially difficult circumstances.
  • Basic understanding of accounting principles.
  • Strong verbal and written communication skills.
  • Work effectively in a team environment.
  • Monitor and compare data to determine compliance with prescribed operating standards.

Ability to:

  • Work in a fast-paced environment.
  • Sit for long period of time.
  • Provide seamless customer service.
  • Assist staff and recommend improvements.

SALARY

Pay Range: $20.92 to $35.78 per hour.

Hiring Range: $20.92 to $32.46 per hour.

  • Hiring range is an estimate of where you can receive an offer. The actual salary offer will carefully consider a wide range of factors, including your skills, qualifications, experience, education, licenses, training, and internal equity.


Internal Only:
Please understand that this is pay grade 343. If selected, your salary offer will be based on the applicable promotion or demotion worksheet in accordance with the City Pay Ordinance.

  • Promotions occur when the last two digits of the pay grade increase.
  • Demotions occur when the last two digits of the pay grade decrease.
  • Lateral transfers occur when there is no change to the last two digits of the pay grade.
  • When there is a change in the first digit of the pay grade, there may also be a change to your classification or unit.

MINIMUM QUALIFICATIONS

  • Four years of experience performing clerical duties.
  • OR Bachelor’s degree in public or business administration or a related field.
  • Other combinations of experience and education that meet the minimum requirements may be substituted.

PREFERRED QUALIFICATIONS

The minimum qualifications listed above, plus:

Basic understanding of accounting principles.

Experience with/in:

  • Ordering general services and goods via contracts.
  • Data entry in accounting software.
  • Enterprise procurement / supplier system.
  • Processing invoices and reconciling vendor statements.
  • Microsoft Office, including Word, Outlook, and Excel.
