A Day in the life:
As an Invoice Administrator, your day focuses on keeping billing accurate, organized, and up to date. You prepare customer invoices, maintain account files, and enter required information into customer portals. You also manage credit memos, warranty billing, and payment processing, all while staying responsive to emails and phone calls to help customers and resolve billing questions. Throughout the day, you support the Accounts Receivable team with reports, follow‑ups, and general administrative tasks that keep daily operations running smoothly.
Note this is an active job opening for a vacancy that currently needs to be filled and is a fully on-site role based out of our Ottawa branch located at Unit 11 – 1050 Baxter Rd.
Responsibilities:
- Ensuring the accuracy of customer invoices
- Maintaining and updating customer files
- Entering data into customer portals
- Issuing credit memos
- Processing warranty invoicing
- Managing email and phone communications
- Processing customer payments
- Providing general support to the Accounts Receivable team
What you will bring:
- Proven experience with invoicing
- Portal experience is an asset
- Payroll experience/ or balancing time sheets is an asset
- Experience with MS Outlook and Excel
- Ability to multitask, strong attention to detail
- Excellent communication and organizational skills
