What Does a Maintenance Coordinator Do?
A Maintenance Coordinator is the engine behind our maintenance department. You are responsible for keeping everything running smoothly by:
- Scheduling and coordinating maintenance appointments
- Managing technician routes and daily workload
- Communicating with customers and ensuring a great experience
- Following up after service to ensure satisfaction
- Keeping customer records organized and up to date
You play a critical role in both customer satisfaction and team efficiency, making sure our technicians stay productive and our customers stay happy.

Position Overview
As an HVAC Maintenance Coordinator, you will play a critical role in keeping our maintenance department running smoothly.
You will be responsible for scheduling, coordinating, and supporting maintenance operations, while delivering an outstanding customer experience.
Key Responsibilities
- Answer incoming calls and assist customers professionally
- Gather customer information and schedule maintenance appointments
- Optimize maintenance technician schedules and routes to reduce drive time
- Assign the correct technician based on job requirements
- Confirm upcoming maintenance appointments
- Conduct follow-up “happy calls” to ensure customer satisfaction
- Handle customer concerns and resolve issues professionally
- Input and update customer information in dispatching software
- Manage maintenance agreements and membership updates
- Call customers when maintenance is due and schedule appointments
- Communicate with technicians to ensure timely arrivals
- Order parts and coordinate job needs
- Perform basic administrative and clerical tasks
Qualifications
- Positive attitude and strong work ethic
- Highly organized and detail-oriented
- Strong communication and customer service skills
- Ability to multitask in a fast-paced environment
- Basic computer skills (Apple/Mac familiarity preferred)
- Ability to quickly learn dispatching software
- Team-oriented with strong problem-solving skills
Requirements:
- Clean background (no criminal history)
- Must pass drug screening
HVAC or scheduling experience is preferred but not required. We will train the right candidate.
