Job Overview
We are seeking a dynamic and energetic HVAC Support – Dispatcher & Customer Service PRO to join our team! In this vital role, you will be the first point of contact for our clients and field technicians, ensuring seamless communication and efficient scheduling of HVAC service appointments. Your proactive approach will help optimize dispatch operations, enhance customer satisfaction, and support our logistics and transportation management efforts. This position offers an exciting opportunity to be at the heart of our service delivery, combining customer service excellence with dispatching expertise to keep our operations running smoothly.
Duties
- Manage incoming calls using multi-line phone systems with professionalism and courtesy, providing exceptional customer service.
- Schedule, coordinate, and dispatch HVAC technicians efficiently using transportation management systems and GPS tools to optimize routes and response times.
- Utilize GIS (Geographic Information Systems) and GPS technology for precise location tracking and route planning within transportation management systems.
- Oversee shipping & receiving processes, ensuring timely delivery of parts and equipment while coordinating with 3PL providers when necessary.
- Monitor fleet management activities related to HVAC service vehicles, including maintenance schedules and compliance documentation.
- Assist with analysis of logistics data to improve dispatch efficiency, reduce freight costs, and streamline supply chain operations.
- Communicate clearly with customers, vendors, and field teams via phone etiquette and professional communication skills to resolve issues promptly.
- Support transportation planning efforts by analyzing freight movements, optimizing routes, and managing transportation schedules for maximum efficiency.
- Strong communication skills with the ability to handle multi-line phone systems professionally.
- Experience with logistics operations including shipping & receiving, freight management, and fleet coordination.
- Ability to analyze logistics data using analysis skills to identify opportunities for process improvements.
- Excellent organizational skills with attention to detail in a fast-paced environment.
- Experience working with Housecall Pro.
