This main responsibility of this position is to coordinate the hiring process for the OCJB as well as to provide administrative assistance for the HRD. This position coordinates all hiring tasks with Department Heads as well as the Director to facilitate the posting of all vacant positions.

Responsible for the retrieving and coordinating of all applications submitted through the Oklahoma County website. Corresponds with applicants regarding the application process and their status within the system.

Coordinates with Department Heads and applicants regarding the interview process. Responsible for the vetting process and coordination of interview panels, interview applicants, and the results of panel and individual interviews.

Responsible for the background check process, ensuring all applicable fields have been thoroughly investigated, and a clear summary of each applicant’s history is presented within the Background Investigation Report.

Coordinates the new hire process with onboarding employees. Responsible for the management of the medical evaluation process, fingerprint process, and the completion of new hire paperwork with each employee. Ensures personnel and medical files are set up for each new employee, containing all required documentation. This position is responsible for the tabulation and record keeping for all I-9 documentation for the OCJB personnel.

Prepares, completes, and maintains a variety of complex records, statistics, reports, and other administrative functions. Responsible for coordinating memorandums, personnel files, statistical data entry, and other various administrative data.

May assist the HRD with tasks as assigned, but not limited to the following: Personnel File Audits, Employee Training, Responses to Unemployment Applications, FMLA, Payroll, and all other duties as assigned.

Conducts recruitment efforts and attends job fairs when necessary.

Must be supportive of TBRI practices and be willing to implement trauma based relational practices with all staff.

Experience

Must maintain an active telephone number where employee can be reached. Must provide proof of a valid state driver’s license.

Must possess the ability to utilize a variety of software applications to develop and manage statistical data. Proficiency in Microsoft Word is required; proficiency in Excel is preferred.

Must possess organizational skills that allow for the effective management of multiple priorities and tasks.

Knowledge and understanding of departmental rules, regulations, and policies as it pertains to OCJB operations.

Must maintain confidential and sensitive OCJB employee information and be able to maintain it in a manner that is respectful and confidential.

Must possess the ability to utilize a variety of software applications to develop and manage statistical data. Knowledge of Microsoft Outlook, Microsoft Word, and Microsoft Excel. Advanced knowledge in Microsoft Excel preferred.

Must be able to produce comprehensive written reports.

Must be able to interact and effectively communicate with a broad range of individuals who may have differing education levels, socioeconomic levels, and communication abilities. Must demonstrate the ability to establish and maintain effective working relationships with employees, other departments, other agencies, public officials and the public.

Must be able to carry out oral instructions and work both independently and closely with other employees.

Must have the ability to serve as a positive role model by being reliable, dependable, and maintaining a positive attitude.

Education Required

High school diploma or equivalent and two (2) years of clerical or administrative experience. Applicants with a bachelor’s degree and/or experience in personnel may be given preference.
