Job Purpose: 

To provide comprehensive administrative and human resource support for the company’s daily operations, including assisting in finance-related documentation, maintaining staff records, handling HR matters, and ensuring efficient coordination between management and employees. The role also involves ensuring all company licenses and operational renewals are up to date. 

 

Key Responsibilities: 

  1. Administrative Duties 

  • Coordinate office activities to ensure smooth daily operations and compliance with company policies. 
  • Handle company correspondence, calls, and emails in a professional and timely manner. 
  • Prepare and organize meetings, including scheduling, preparing materials, recording minutes, and circulating updates. 
  • Maintain proper filing and documentation systems for administrative, HR, and finance records. 
  • Manage procurement of office and pantry supplies, including sourcing quotations, vendor liaison, and acting as runner when necessary. 
  • Ensure all company licenses, permits, and season parking renewals are monitored and renewed on time. 
  • Support the Executive Director (ED) and management team with any administrative or operational tasks as assigned. 

 

2.Human Resource (HR) Duties 

  • Maintain and update employee records, including personal files, attendance, and leave applications. 
  • Assist in recruitment activities such as posting job ads, scheduling interviews, and preparing offer letters. 
  • Coordinate onboarding for new employees and ensure HR forms and documents are properly completed. 
  • Prepare monthly HR reports and assist in verifying payroll details (payroll processing handled by Payroll Panda). 
  • Manage staff attendance, claims, and other HR-related documentation. 
  • Support management in implementing HR policies and maintaining a positive workplace environment. 
  • Assist in staff-related communication, memos, and internal announcements. 

 

3.Finance Support Duties 

 

  • Check monthly emails for Statement of Accounts (SOA) and follow up as necessary. 
  • Monitor monthly company commitments and ensure timely actions. 
  • Assist in filing finance-related documents when required. 
  • Handle petty cash transactions and reimbursement tracking responsibly. 
  • Manage Payment Vouchers (PV) processing internally, ensuring accuracy and proper approval. 
  • Maintain confidentiality in handling financial and HR information. 

 

4. General / Ad-hoc 

  • Assist the Executive Director, Managing Director and Account Executive in any assigned tasks or special projects. 
  • Perform any other related duties as required to support smooth company operations.
