Hotels & Hospitality Team – Operations Assistant

Finance and Operations Management

  • Oversee day-to-day financial operations for the team, including coordination with the regional finance department.
  • Manage client project invoicing, expense processing, and disbursement invoicing.
  • Conduct monthly reconciliation of financial operations and ensure accuracy of records.
  • Liaise with internal and external stakeholders to resolve financial queries and discrepancies in a timely manner.
  • Handling new client compliance/KYC onboarding
  • Supporting and handling with legal tasks – reviewing JLL and client agreements/NDAs
  • Managing JLL Hotels & Hospitality procurement tasks – POs/third parties
  • Updating and managing of revenue forecast and tracker
  • Collections and debtors aging updates with finance accounts team

Administrative Support

  • Provide comprehensive administrative support to the department, including scheduling meetings, coordinating travel arrangements, and processing expense claims.
  • Maintain efficient filing systems (electronic and physical) for documentation and record-keeping.
  • Prepare correspondence, reports, and presentations as required.

Business Development Assistance

  • Support business development activities using CapForce, including data entry, client record management, and updating leads.
  • Track lead status, monitor conversion of prospects into active projects, and generate relevant reports for the team.
  • Assist in preparing business proposals and coordinating with the broader team on BD initiatives.
  • Sending client satisfaction surveys
  • Monitor and maintain active subscriptions across all tender procurement sites, ensuring timely renewals and accurate login documentation
  • Review and distribute incoming RFPs to appropriate teams and personnel based on project requirements and specialization

Event and Marketing Support

  • Assist with planning and execution of internal and external events for the team.
  • Support general marketing initiatives, such as managing marketing collateral, helping with social media updates, and liaising with vendors or partners as needed.

Team Collaboration and Ad-hoc Support

  • Provide proactive support to team members, assisting with miscellaneous tasks and special projects as assigned.
  • Foster a positive and collaborative work environment by building effective relationships within the team and across departments.

General Competencies

  • Minimum 3–4 years of relevant experience in administrative or operational support roles.
  • Able to work independently, prioritize tasks, and manage time effectively to meet deadlines.
  • Advanced proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
  • Strong self-motivation with excellent communication, interpersonal, and organizational skills.
  • Demonstrated experience in basic finance, bookkeeping, or accounting functions—experience in financial reconciliation is highly valued.
  • Prior experience with CapForce or similar CRM platforms is an advantage.
