Job Overview
We are seeking a dedicated and compassionate Hospice Intake Coordinator to join our healthcare team. In this vital role, you will serve as the first point of contact for patients and their families, coordinating the intake process to ensure seamless admission into hospice care services. Your energetic approach and attention to detail will help facilitate smooth communication between patients, families, medical providers, and insurance companies. You will play a key role in managing medical documentation, verifying insurance coverage, and ensuring compliance with healthcare regulations such as HIPAA. This position offers an opportunity to make a meaningful difference in patients’ end-of-life journey while utilizing your strong administrative and clinical skills.
Duties
- Greet patients and families with warmth and professionalism, providing excellent patient service at the front desk or intake area
- Collect, review, and verify medical documentation including care plans, medical records, and insurance information using EMR (Electronic Medical Record) systems such as Epic, Meditech, Athenahealth, eClinicalWorks, or similar platforms
- Conduct insurance verification for Medicare, Medicaid, private insurance plans, and other payers to confirm coverage eligibility for hospice services
- Assist with medical billing and coding processes by applying CPT (Current Procedural Terminology), ICD-9/10 (International Classification of Diseases), and ICD coding standards accurately
- Review clinical documentation for completeness and accuracy to support billing and compliance requirements
- Coordinate with healthcare providers to facilitate smooth intake procedures and ensure all necessary documentation is obtained for patient admission
- Maintain meticulous records of patient interactions, documentation review outcomes, and communication logs in compliance with HIPAA regulations
- Utilize multi-line phone systems with professional phone etiquette to communicate effectively with patients, families, providers, and insurance representatives
- Support office management tasks including filing medical records, scheduling appointments using medical scheduling software like Eaglesoft or Dentrix when applicable, and managing office supplies
Skills
- Strong knowledge of medical terminology, ICD-9/10 coding standards, CPT coding, and healthcare documentation review processes
- Proficiency in EMR systems such as Epic, Meditech, Athenahealth, eClinicalWorks or other EHR (Electronic Health Record) systems
- Experience with insurance verification procedures for Medicare and other insurance plans
- Excellent computer skills including Microsoft Office Suite (Word, Excel), typing accuracy (10 key typing), and familiarity with health information management software
- Exceptional patient service skills combined with professional phone etiquette in handling multi-line phone systems
- Ability to interpret medical records accurately while maintaining strict confidentiality under HIPAA guidelines
- Bilingual abilities are highly valued to serve diverse patient populations effectively
- Previous clinic or hospital experience in intake or administrative support roles preferred
- Strong organizational skills with attention to detail in managing medical records and documentation workflows
- Experience working in dental clinics or dental offices using Dentrix or Eaglesoft is a plus but not required
