HOA Receptionist
Position Summary
The HOA Receptionist serves as the first point of contact for residents, guests, vendors, and community stakeholders. This position is responsible for providing professional customer service, managing front desk operations, answering inquiries, and supporting the administrative functions of the Homeowners Association. The ideal candidate is organized, courteous, detail-oriented, and able to handle multiple tasks in a fast-paced office environment.
Essential Duties and Responsibilities
· Greet residents, visitors, contractors, and vendors in a professional and friendly manner
· Answer and direct incoming phone calls and emails.
· Provide information regarding HOA policies, amenities, events, and community procedures
· Tech Savvy
· Assist residents with forms, applications, amenity reservations, and general requests through community software programs, emails, or in-person.
· Become familiar with Community Governing Documents and distribute as needed
· Receive and distribute mail, packages, and deliveries
· Maintain front office organization and appearance
· Schedule and coordinate the Administration Office conference room reservations as needed.
· Assist management staff with administrative tasks, filing, data entry, and document preparation
· Maintain accurate resident records and contact information in software programs
· Process work orders, resident concerns, and maintenance requests
· Support preparation and distribution of notices, community communications, and community monthly news magazine
· Monitor office supplies and assist with inventory ordering
· Maintain confidentiality of resident and association information
· Assist with special events, board meetings, and community activities as assigned
· Perform other duties as assigned by management
Qualifications
· High school diploma or equivalent required
· Previous receptionist, administrative assistant, or customer service experience preferred
· Experience in an HOA, property management, or office environment is a plus
· Strong verbal and written communication skills
· Proficiency in Microsoft Office Suite (including Excel)and general office equipment
· Ability to multitask and prioritize responsibilities effectively.
· Professional appearance and demeanor.
· Strong organizational and interpersonal skills.
· Ability to work independently and as part of a team.
Working Conditions
· Primarily office-based environment.
· Frequent interaction with residents and the public.
Physical Requirements
· Ability to sit or stand for extended periods.
· Ability to lift up to 20 pounds occasionally.
· Ability to operate office equipment, including computers, phones, copiers, and printers.
Reports To
Community Manager / General Manager
Compensation and Benefits
· Competitive hourly wage or salary based on experience.

Pay: $19.00 – $20.00 per hour
