Position Summary
This position serves the building principal in performing highly responsible secretarial and general office work. Work is reviewed for technical accuracy primarily through verification of financial records, statements, and periodic audits. Problems involving significant departure from standard policy or procedure are reviewed with building administrators. The position must be able to relate to high school aged students and dealing tactfully and courteously with them, the staff and the public. The position must have excellent communication skills and skilled use of computer.
Essential Job Functions
- Serves as the main point of contact for the building; greets students, parents, staff and visitors.
- Maintains school records and files for building as per the directions of the administrator
- Attends in-service training as stipulated by the district
- Orders supplies for the building
- Maintain the master school calendar, including facility use, and events.
- Assists in managing the building budget including the ordering of supplies
- Maintains student files
- Prepares school newsletter for mailings on a quarterly/monthly basis
- Prepares state reports using the WISE system
- Manages key and fobs for building
- Manages absences for the building and assigns substitutes as needed
- Coordinates, with the teachers, the grading program in the district’s student management system
- Assists staff members with questions regarding the district’s student management system
- Responsible for upkeep of the WISE state computer program
- Prints and distributes student report cards
- Prepares student schedules and other student information relative to the start of the school year
- Prepares bi-weekly payroll time sheets
- Attends to the needs of ill/injured students as needed
- Maintains the District’s standards relative to the confidentiality of information about students and school related concerns
- Uses good judgment in making decisions in accordance with regulations, ordinances, laws and establishes District policies
- Develops effective working relationships with people with the ability to be empathetic and show patience with parents, students and staff.
- Performs other duties as assigned by the building principal
Qualifications
- High School Diploma required; post-secondary education in a related field preferred, but not required
- 2+ years of experience preferred in a clerical or administrative role
- Above-average computer skills, specifically in Microsoft Office and Google Suite
- Demonstrated above-average customer service skills
- Exceptional interpersonal skills, along with strong oral/written communication skills
- Ability to prioritize and work both independently and as part of a collaborative team
- Demonstrated excellent attention to detail, with the ability to maintain a high level of accuracy
- Ability to deal with sensitive information with discretion and to maintain confidentiality
- Flexible, open to change and improved processes to enhance efficiency
