Summary of Functional Responsibilities:
- Clerical position providing administrative staff support and customer service.
- Manage day-to-day office operations.
- Supervise part-time/seasonal staff.
Specific Duties of the Position:
- Manage day-to-day office operations including supply shopping, bank runs, etc.
- Maintain clean and organized office space at all times.
- Assist in maintaining a clean and organized lobby at all times.
- Maintain up-to-date scheduling of the Ice Schedule and off-ice events.
- Manage front office operations which includes but is not limited to: interviewing, hiring, training, scheduling and evaluating part-time/seasonal staff.
- Provide customers with accurate information related to Hamilton Community Center and Ice Arena.
- Tabulate and prepare daily, weekly, monthly and annual financial and status reports.
- Take registration for classes, lessons and collect fees.
- Enter, maintain and update all activity and program related registration codes and related information into our registration system with a high degree of accuracy.
- Maintain records of morning ice session payments by individual tickets.
- Prepare and invoice user groups for rentals.
- Inventory and replace all necessary products in the vending machine.
- Maintain, create and update in accordance with Marketing Manager standards, marketing materials such as displays, flyers, display monitors, website and social media.
- Inventory Pro Shop items, office supplies and some concessions related items.
- Perform support functions for staff as needed.
- Provide information to the public about room rentals, schedule room rentals, and complete rental contracts.
- Occasionally travel out of town for Parks-related events and training.
- Meet regularly with the Hamilton Center Manager.
- Multi-task, prioritize, and meet deadlines in an ever-changing environment with frequent interruptions.
- Perform all other duties as assigned.
Education and Experience:
- High School diploma and at least 2 years’ experience working in a related environment.
- Strong written/oral communication skills and the ability to interact with community organizations.
- First Aid/CPR/AED certification preferred or willing to obtain certification (at employer expense) within 90 days of employment.
- General mathematical skills required.
- Proficient computer skills: Word, Excel, Outlook, and the ability to learn RecTrac (registration system).
- Valid Indiana driver’s license and good driving record sufficient to be insured by the City during work hours.
- A criminal background check and pre-employment/random drug screenings are required.
Judgment:
- Work is of ordinary difficulty and complexity and is performed under general supervision.
- Independent judgment with supervisory help available.
Supervisory Responsibility:
- 10-20 Part-time/Seasonal Employees
- Works with minimal supervision.
Relationships Responsibility:
- Represent the Parks & Recreation Department in a courteous, professional and friendly manner.
- Must have a customer-focused attitude and demonstrate the ability to work well with internal and external patrons.
- Ability to manage relationships both inside and outside the organization, on matters of considerable complexity and importance to the organization.
Working Conditions:
- Ordinary working conditions.
- Must be able and willing to work late hours, weekends, holidays when needed.
Must reside in Bartholomew County or adjoining county within six (6) months of employment.
This position is Safety-Sensitive and is subject to the City’s Drug and Alcohol-Free Workplace Program which includes: pre-employment testing, random testing, post-accident testing, reasonable suspicion testing, return-to-duty testing, and follow-up testing, and annual BMV checks for all drivers.
