Front Office Medical Assistant

The front office medical assistant plays a key role in creating a smooth, welcoming, and efficient experience for patients and visitors in a pediatric primary care clinic. This position supports both administrative and clinical operations by managing check‑in and check‑out processes, maintaining accurate documentation, and communicating proactively with patients, providers, and the care team. The role combines patient‑facing customer service with detailed administrative tasks to help ensure high‑quality, coordinated care.

Responsibilities

  • Greet patients and visitors in a friendly, professional manner and help create a welcoming environment upon arrival.
  • Check in patients by updating demographic information, insurance details, primary care provider (PCP) information, and pharmacy records in the system.
  • Collect co‑pays and outstanding balances, provide consent forms for signature, and distribute appropriate health questionnaires as needed.
  • Verify insurance eligibility using Batch Eligibility or on‑demand tools and follow up with patients regarding inactive insurance, incorrect PCP assignments, or other coverage issues.
  • Check out patients by collecting additional balances, providing visit summaries, specialist referral details, and patient portal access information.
  • Schedule follow‑up appointments and ensure patients understand their next steps and any required future visits.
  • Post patient charges and payments accurately and complete daily charge and payment reconciliation to support accurate billing.
  • Discharge patients after appointments, ensuring they receive all necessary information, instructions, and follow‑up guidance.
  • Scan and upload documents into the Document Management system to maintain complete and accurate patient records.
  • Sort and distribute incoming mail and documents delivered by courier to the appropriate staff or departments.
  • Maintain a clean, organized, and professional front desk and patient waiting area to support a positive patient experience.
  • Participate actively in staff meetings and educational sessions to support team collaboration, continuous learning, and consistent processes.
  • Support appointment scheduling and coordination of care for patients, including pediatric patients, as needed.
  • Communicate effectively with clinical staff, providers, and patients to ensure timely information flow and efficient clinic operations.

Essential Skills

  • At least 1 year of experience in a medical office setting.
  • Medical assistant (MA) diploma or Certified Medical Assistant (CMA) credential, or 3 years of medical assistant experience.
  • Strong medical terminology knowledge applicable to a clinical setting.
  • Proven customer service skills with a focus on patient care and a positive patient experience.
  • Experience with insurance verification, including eligibility checks and PCP verification.
  • Ability to perform appointment scheduling and manage front office workflows in a healthcare environment.
  • Competence in handling patient care related administrative tasks, including check‑in, check‑out, and documentation.
  • Attention to detail and accuracy when posting charges, payments, and reconciling daily transactions.
  • Strong communication skills, both in‑person and over the phone, with patients, families, and clinical staff.
  • Ability to maintain confidentiality and handle sensitive patient information appropriately.
  • Organizational skills to manage multiple tasks in a busy pediatric clinic environment.

Additional

Skills & Qualifications

  • Medical assistant experience beyond the minimum requirement is preferred.
  • Experience supporting a pediatric patient population is preferred.
  • Bilingual skills in English and Russian are preferred.
  • Familiarity with patient portals and providing patients with access and instructions.
  • Experience working with document management systems for scanning and uploading records.
  • Comfort working in a fast‑paced clinical setting with a high level of patient interaction.
  • Commitment to ongoing learning through participation in staff meetings and educational sessions.
