Front Desk Coordinator

Full-Time | Monday–Thursday, 9:00 AM – 5:00 PM
Location: In-office only

Pay: Starting at 17.00 per hour, commiserate with experience.

We are seeking a dedicated and detail-oriented Front Desk Coordinator to join our integrative medical practice family. This full-time, in-office position plays a vital role in creating a welcoming environment for our patients and supporting the day-to-day phone operations of the clinic.

Key Responsibilities:

  • Answer incoming phone calls, texts, voicemails, and emails promptly and professionally
  • Coordinate scheduling for the office, including existing patients and new patients, for three medical providers, infusions, and lab services daily.
  • Manage front office entry by checking in patients for daily services and directing patients where to wait after the check in process is complete
  • Fulfill medical record requests
  • Complete minor billing tasks
  • Provide knowledgeable expertise about the practice to existing patients and inquiring new patients.
  • Maintain lab order files, ensure daily filing of new lab orders. Familiar with lab procedures, correct orders, and specialty test kit requirements.
  • Complete daily office tasks to maintain cleanliness, maintain front office coffee station, handle packages/deliveries, and other such tasks as needed.
  • Familiar with office supplements to assist with patient education as needed
  • Maintain HIPAA compliance and ensure OSHA training and safety standards are met
  • Collaborate closely with providers, nurses, and administrative staff to support patient care

Qualifications:

Applicants must have:

  • 2+ years of experience in office setting or customer support setting
  • Prior experience in a medical office setting
  • Strong customer service background
  • Familiarity with electronic medical record (EMR) systems
  • Proficient in Microsoft Office (Excel, Word, Outlook/Teams)
  • Basic technical troubleshooting/problem-solving skills
  • Availability to work all scheduled hours and remain on-site until end of day.
  • A genuine interest in functional and integrative medicine is strongly recommended. Prior experience in integrative medicine is preferred.

Ideal candidates will have a minimum of two years of office or customer support experience, demonstrate strong interpersonal skills and ability to work in a fast paced environment. Candidates must also possess a proven track record in customer service and posses the ability to navigate unexpected challenges with resilience and composure. As this role involves frequent and direct interaction with patients, we are looking for someone who is not only highly organized and professional but also empathetic and responsive to both patient and practice needs.
