Responsibilities

  • Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
  • Answer multi-line phone systems efficiently, directing calls to appropriate departments or personnel with professionalism and courtesy
  • Manage appointment scheduling and calendar coordination using tools like Google Workspace or Microsoft Outlook
  • Handle incoming and outgoing mail, package deliveries, and maintain organized filing systems
  • Assist with office management tasks such as data entry, filing, proofreading documents, and basic bookkeeping using QuickBooks or similar software
  • Support administrative duties including typing correspondence, maintaining office supplies inventory, and supporting personal assistant tasks as needed
  • Maintain a tidy reception area, ensure proper phone etiquette, and uphold organizational standards for cleanliness and professionalism

Qualifications

  • Proven experience in front desk operations or office management roles with strong clerical skills
  • Excellent customer service skills with the ability to handle inquiries politely and efficiently
  • Proficiency with computer literacy including Microsoft Office Suite (Word, Excel), Google Workspace, data entry, and basic bookkeeping software like QuickBooks
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment
  • Bilingual abilities are highly desirable to assist diverse client needs
  • Experience with multi-line phone systems, calendar management, and office support functions such as filing and proofreading is preferred
  • Demonstrated time management skills with the ability to prioritize tasks accurately
  • Previous experience in administrative support or as a personal assistant is advantageous
