Duties

  • Greet residents, visitors, staff, and vendors with friendliness and professionalism, creating a positive first impression.
  • Manage multi-line phone systems efficiently, directing calls accurately and courteously while maintaining excellent phone etiquette.
  • Handle front desk responsibilities including data entry, filing, and managing correspondence using Microsoft Office, Google Workspace, and other office software.
  • Maintain organized records of resident information, visitor logs, appointment schedules, and other administrative documents with precision.
  • Support office management tasks such as calendar management, appointment setting, and coordinating meetings or events.
  • Assist with clerical duties like proofreading documents, managing incoming and outgoing mail, and supporting bookkeeping activities using QuickBooks or similar tools.
  • Provide exceptional customer support by addressing inquiries promptly and professionally while ensuring confidentiality and compliance with privacy standards.

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, data entry, and general office management software.
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
  • Demonstrated experience in clerical work or administrative support within healthcare or office settings.
  • Exceptional phone etiquette skills combined with experience managing multi-line phone systems.
  • Bilingual abilities are highly valued to serve diverse resident populations effectively.
