Job Overview
BioDental Healing is a whole-body, biologically minded dental practice, and our front desk is the first experience every patient has with that philosophy. As our Front Desk Receptionist, you’ll do far more than answer phones and book appointments — you’ll set the tone for a calm, welcoming, and genuinely caring environment from the moment someone walks in or calls.
Our mission is to provide compassionate, biologically based dental care that sees and supports the whole person. We serve health-conscious individuals — many traveling from across California and out of state — who are seeking a more thoughtful, integrative approach to dentistry. In this role, you’ll be the warm, organized presence that keeps our days running smoothly and helps every patient feel informed and at ease.
Duties
- Greet and welcome patients warmly, creating a calm and professional first impression.
- Answer, screen, and route incoming calls, and respond to patient inquiries by phone, email, and text.
- Schedule and confirm appointments, manage the daily flow, and coordinate recall and follow-up visits.
- Maintain accurate patient records and scheduling in our practice management system (Oryx), ensuring full HIPAA compliance.
- Verify and update patient information, health history forms, and new-patient paperwork.
- Clearly and comfortably explain our fee-for-service model and patient financing options (Sunbit, CareCredit); we do not bill dental insurance.
- Collect payments, manage financial arrangements, and keep accurate records of transactions.
- Coordinate closely with the clinical team to ensure smooth scheduling, communication, and patient flow.
- Help maintain an organized, welcoming, and well-run front office.
Skills & Qualifications
- Prior front desk, receptionist, or patient coordinator experience (dental or medical office preferred).
- Strong communication skills with a warm, patient-first mindset.
- Comfortable discussing fees, payment, and financing in a fee-for-service setting.
- Familiarity with dental or medical practice management software (Oryx preferred, but not required).
- Highly organized, detail-oriented, and able to juggle multiple tasks in a busy environment.
- Professional phone presence and clear written communication.
- Interest in or openness to learning biological/holistic dentistry principles.
- Team-oriented, dependable, and willing to support both administrative and clinical needs.
