Job Summary: We are looking for a full-time Lead Front Desk Receptionist who can act as front desk receptionist in a lead position to oversee front end operations efficiently and warmly. The ideal candidate will have excellent multitasking abilities, proficiency in Electronic Medical Records (EMR), QuickBooks, experience and understanding of medical insurance and terminology. Your role will be pivotal in ensuring smooth administrative operations, providing excellent customer service, and supporting our naturopathic practice. The Lead Front Desk Receptionist will work closely with the entire team and our Clinical Administrator to ensure smooth office operations.
Key Responsibilities:
- Manage all front end duties, such as but not limited to, scheduling appointments, EMR correspondence, email correspondence, filing, faxing, scanning
- Greet and welcome patients in a friendly and professional manner
- Answer and manage incoming calls, schedule appointments, and direct calls to appropriate staff
- Maintain and update patient records and communication using EMR software
- Medical records requests
- Verify insurance information and assist patients with insurance-related queries
- Sell nutritional supplements prescribed by the Naturopathic Doctors on staff
- Use Quickbooks to manage sales of supplement and products sold at the office
- Prepare herbal teas and tinctures as formulated by the doctors
- Coordinate with medical staff to ensure smooth patient flow and clinic operations
- Manage office supplies and maintain a clean and organized reception area
- Be the point person in-office for patient/customer complaints and communicate with Clinic Admin during these situations
Qualifications:
- High school diploma or equivalent; additional certification in medical office management or assisting is a plus
- Proven experience as a medical receptionist
- Past leadership or person in charge/shift manager experience, or equivalent
- Proficient in EMR systems (Athena is a plus) and QuickBooks
- Familiarity with medical insurance processes and medical terminology
- Strong organizational and multitasking skills
- Excellent verbal and written communication skills
- Ability to maintain a positive attitude and provide excellent customer service
- Have a positive, team-driven mentality
- Knowledge of nutritional supplements and herbal preparations is an advantage
- Dependable, punctual, and committed to the role
- Must be able to work full-time business hours

Hours:
Hours will likely be:
Monday – Thursday 8:30am to 5:00pm
Friday either 8:30am to 12:30pm – or – 12:30pm to 3:30pm
