Neurolimits is a neuroscience-led neuro wellness clinic offering services including EEG diagnostics, neurofeedback, rTMS, sleep evaluations, psychological assessments, and psychotherapy. We are seeking an experienced Front Desk Receptionist to manage daily clinic operations and serve as the primary point of contact for patients.
This is a full-time, in-office position, Monday through Friday, 9:00 AM to 6:00 PM (strict schedule). Applicants must be able to reliably commute to our Westlake Austin location without issue and maintain consistent attendance.
Position Summary:
The Front Desk Receptionist plays a critical role in both patient experience and clinic operations. This is a front desk–focused role requiring strong interpersonal skills, organization, and the ability to manage administrative and billing workflows with minimal supervision.
We are specifically looking for someone with h*ands-on experience in a healthcare setting, including direct use of eClinicalWorks (ECW) and independent handling of insurance verification and claims.
The ideal candidate is reliable, detail-oriented, and comfortable working in a fast-paced clinical environment without needing extensive retraining.
Key Responsibilities
Front Desk & Client Check-In
- Greet patients and families, manage check-in/check-out, and maintain a professional front desk environment
- Serve as the primary point of contact for patients, both in person and over the phone
- Answer calls, respond to inquiries, and coordinate with clinical staff
- Ensure smooth patient flow throughout the day
Scheduling & Appointment Management
- Schedule and manage appointments across multiple services (TMS, neurofeedback, psychotherapy, evaluations)
- Maintain provider calendars, including reschedules, cancellations, and waitlists
- Communicate appointment instructions and reminders to patients
Billing & Insurance Support
- Verify insurance eligibility and benefits prior to appointments
- Submit and track insurance claims
- Collect copays and outstanding balances at time of service
- Communicate with insurance providers to resolve issues when needed
Administrative Support
- Maintain accurate patient records within eClinicalWorks (ECW)
- Manage intake forms, consent documents, and required paperwork
- Support general administrative tasks to ensure smooth clinic operations
Minimum Qualifications
- Mastery-level training of eClinicalWorks (ECW)
- Experience with insurance verification and claims submission in a medical setting
- Experience working with BCBS, Aetna, Cigna, United Healthcare, VA, and TRICARE
- Prior experience as a front desk receptionist in a medical or behavioral health clinic
- Ability to work full-time on-site (Monday–Friday, 9 AM–6 PM) with a reliable commute
- Strong organizational and multitasking skills
- Professional communication with patients, families, and staff
- Legally authorized to work in the U.S. (no visa sponsorship available)
Preferred Qualifications
- Experience in behavioral health, neurology, or specialty clinics
- Familiarity with TMS, psychological evaluations, or psychotherapy workflows
- Experience in clinics handling both private-pay and insurance-based services
- Ability to independently manage billing-related issues with minimal oversight.
