We are seeking a reliable, detail-oriented Front Desk Receptionist / Administrative Assistant to join our private psychology practice team. This role requires public service skills as well as essential administrative experience, ensuring smooth daily operations and a walcoming environment for clients and staff.

The ideal candidate will be organized and ready to handle multiple tasks with professionalism. This position offers an opportunity to develop your office management skills.

Duties

  • Greet clients warmly and professionally, ensuring a positive first impression
  • Manage practice phone system and servicing clients efficiently
  • Maintain organized filing systems, data entry records, and ensure accurate documentation
  • Schedule appointments of different types and communicate services to the client
  • Handle incoming and outgoing correspondence, including emails, mailings, fax, and specialized insurance portals
  • Manage influx of new patient referrals and communicate with insurance providers regarding coverage and financial responsibility for services provided
  • Collect and document payments from clients.
  • Assist with clerical duties including photocopying, faxing, inventory management, and general office organization

Requirements

  • Experience in front desk reception or office administration roles with established office organizational skills
  • Adequate computer literacy with proficiency in Google Workspace and data entry software
  • Strong phone etiquette skills
  • Demonstrates client service skills with a friendly demeanor and professional attitude
  • Ability to multitask effectively in a fast-paced environment while maintaining attention to detail
  • Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively
  • Knowledge of office management practices is a plus; familiarity with medical insurance communication is essential
  • Prior clerical experience including filing, proofreading, calendar management, and personal assistant tasks considered beneficial

Pay: From $16.00 per hour
