Job Summary

We are seeking a professional, organized, and personable Front Desk Receptionist to join our team in an in-person office setting. In this role, you will be the first point of contact for visitors, clients, and callers, representing the organization with professionalism and courtesy. You will support daily administrative operations, maintain efficient front desk workflow, and help create a welcoming and productive office environment.

Duties and Responsibilities

  • Greet and assist visitors, clients, and vendors in a courteous and professional manner.
  • Answer and direct incoming phone calls using proper phone etiquette and a multi-line phone system.
  • Respond to emails, inquiries, and general office correspondence clearly and professionally.
  • Schedule appointments, manage calendars, and coordinate meetings for staff and visitors.
  • Maintain organized filing systems, records, and office documents, both physical and digital.
  • Perform data entry, document preparation, proofreading, and other clerical tasks as needed.
  • Support daily office operations by managing supply inventory, ordering materials, and assisting with office organization.
  • Provide basic administrative support such as copying, scanning, faxing, and sorting mail.
  • Assist with customer service by answering questions, providing information, and resolving basic concerns professionally.
  • Use Microsoft Office and Google Workspace tools to complete administrative and communication tasks.
  • Assist with basic bookkeeping or record-keeping tasks, including invoice tracking or QuickBooks support if needed.
  • Maintain confidentiality of sensitive information and follow office policies and procedures.
  • Work closely with team members to ensure smooth office operations and excellent client service

Skills and Qualifications

  • Previous experience in receptionist, administrative support, office management, or customer service roles.
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Familiarity with Google Workspace applications such as Gmail, Calendar, Docs, and Sheets.
  • Strong computer literacy, including data entry, document management, and general office technology.
  • Ability to use multi-line phone systems professionally and efficiently.
  • Attention to detail and accuracy in handling records, correspondence, and documents.
  • Friendly, professional, and customer-focused demeanor.
  • Ability to work independently and as part of a team in a busy office environment.
  • Bilingual skills are a plus and may be beneficial in serving a diverse client base.

Preferred Experience

  • Prior experience as a front desk receptionist, administrative assistant, or office coordinator.
  • Experience in a medical, dental, legal, or corporate office environment is a plus.
  • Familiarity with scheduling systems, filing procedures, and office management software.
  • Experience with QuickBooks or similar bookkeeping software is advantageous but not required.
  • Previous customer service or personal assistant experience is also valued.

Pay: $24.31 – $34.08 per hour
