Responsibilities
- Greet visitors warmly and direct them appropriately, ensuring a positive first impression.
- Answer multi-line phone systems promptly, professionally, and courteously, directing calls or taking messages as needed.
- Manage appointment scheduling and calendar management using various digital tools.
- Handle data entry tasks accurately within software platforms such as QuickBooks, Microsoft Office, and Google Workspace.
- Maintain organized filing systems, including electronic documents and physical files, ensuring easy retrieval.
- Support office management functions such as ordering supplies, proofreading correspondence, and managing incoming/outgoing mail.
- Provide customer support by addressing inquiries efficiently and maintaining excellent phone etiquette.
- Assist with clerical duties including typing documents, proofreading materials, and supporting administrative projects.
- Perform basic bookkeeping tasks using QuickBooks or similar accounting software when necessary.
- Support other administrative needs such as proofing documents, managing schedules, and supporting personal assistant functions if required.
Skills
- Proven experience in office management or administrative roles with strong clerical skills.
- Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and data entry tools.
- Familiarity with multi-line phone systems and professional phone etiquette.
- Bilingual abilities are highly desirable to serve diverse client needs effectively.
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Experience with front desk operations in medical or dental offices is a plus but not required; relevant customer service experience is essential.
- Knowledge of bookkeeping software such as QuickBooks is advantageous for handling basic financial records.
- Exceptional time management skills to balance multiple responsibilities seamlessly.
