Job Summary
We are seeking an energetic and organized Front Desk Receptionist to be the welcoming face of our office. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily activities. Your positive attitude and attention to detail will help create a professional and friendly environment for visitors, clients, and team members alike. This is a full-time position, 4 days a week, with 10-hour shifts and a scheduled day off each week
Primary Responsibilities
1. Keep front office organized and clutter free
2. Greet the customer’s as they arrive and make them comfortable
3. Answer incoming phone calls, provide information for callers, distribute calls and messages to appropriate persons in a timely manner.
4. Assigning Estimate’s and Tow’s into our system and assigning out to estimators per the rotations
5. Check-in vehicles for repairs, ensure Authorizations are signed.
6. Log Insurance assignments and notify customers to come to the shop for an estimate
7. Process payments (cash, credit card, insurance check, personal check, EFT & Bank check)
8. Deliver vehicles in CCC1, collect any payments owed by the customer, obtain any required signatures from the customer and review the warranty paperwork with the customer.
9. Print & Send Thank-You Letters
10. Filling out all required paperwork
11. Filing any and all paperwork and files in their designated areas
12. Schedule customers
13. Make daily reminder calls for the next day’s appointments
ADDITIONAL RESPONSIBILITIES
1. Call rental car companies for customer pick-up
2. Arrange rides for customers through Uber
3. Prepare folders for incoming customers
4. Fax estimates/email photos to adjuster’s and customers as requested.
5. Water office plants
Pay: $16.00 – $18.00 per hour
