Schedule
Applicants must be available to work:
- Monday, Wednesday, Friday: 7:45 AM – 4:00 PM
- Tuesday, Thursday: 9:45 AM – 7:00 PM
Responsibilities
Front desk is a critical role that keeps the office organized and serves as the first impression our office. Our front desk team is expected to:
- Answer incoming phone calls professionally and courteously
- Schedule appointments and manage provider schedules
- Verify insurance eligibility and benefits before appointments
- Obtain and track referrals and authorizations
- Collect and upload insurance cards and patient information
- Contact patients regarding missing referrals, insurance information, or paperwork
- Check patients in and out
- Collect copays and patient balances
- Maintain accurate patient records
- Communicate with insurance companies, physician offices, and patients
- Follow office procedures, workflows, and checklists
- Assist with administrative projects and office organization
Career Growth Path

Level 1: Front Desk Specialist
Responsibilities include:
- Greeting patients
- Answering phones
- Scheduling appointments
- Confirming appointments
- Collecting copays
- Scanning and uploading documents
- Following office procedures and checklists
- Learning basic vision insurance concepts
- Providing excellent customer service
Success at this level requires:
- Reliable attendance
- Professional communication

Level 2: Front Desk & Insurance Eligibility Specialist
Responsibilities include everything in Level 1, plus:
- Verifying routine insurance eligibility
- Identifying when referrals may be required
- Contacting patients regarding insurance issues
- Explaining routine copays and deductibles
- Reviewing schedules in advance for potential issues
- Filling open appointment slots
- Preparing patient charts
- Processing routine prior authorizations
- Managing most patient interactions independently
Success at this level requires:
- Consistent reliability and attendance
- Strong organizational skills
- Ability to multitask in a busy office
- Ability to follow systems independently
- Strong retention of procedures and workflows
Level 3: Insurance Lead / Office Coordinator
Responsibilities include everything in Levels 1 and 2, plus:
- Complex insurance verification and problem-solving
- Referral and authorization management
- Recall systems and schedule optimization
- Collections and patient account follow-up
- Administrative projects
- Staff support and workflow coordination
- Ensuring providers’ schedules remain productive
- Cross-training in patient care and office operations
- Assisting with patient flow and rooming when needed

- Leadership and teamwork
- Ability to improve office processes and efficiency
