The Impact You Will Make
As our Front Desk Coordinator, you are the "Director of First Impressions." You are the bridge between our patients and our providers. Your goal isn’t just to schedule appointments; it is to make every patient feel seen, valued, and confident that they have chosen the best practice in New Jersey.
You will master the art of "triage"—understanding the difference between a medical dermatology need and an aesthetic desire—and you will manage the flow of the clinic with grace, ensuring our Board-Certified team can focus on what they do best: patient care.
A Day in the Life (Responsibilities)
- The First Point of Contact: Manage high-volume incoming calls, website inquiries, and emails with warmth and professionalism. You are responsible for converting inquiries into booked consultations.
- Concierge Scheduling: Master our complex schedule across four pillars (Dermatology, Hair, Aesthetics, Wellness). You will optimize provider time while accommodating patient needs.
- The Welcome Experience: Greet every patient by name, ensuring a seamless check-in process including paperwork management and comfort amenities.
- Closing the Loop (Retention): You are the guardian of the patient’s relationship. You will manage proactive follow-up calls to check on post-procedure recovery, re-engage patients who are overdue for maintenance (e.g., Botox/fillers), and ensure no patient "falls through the cracks."
- Financial Confidence: As a fee-for-service practice, you must be comfortable and confident discussing consultation fees, collecting payments, and explaining our financial policies clearly and kindly.
- Product & Service Knowledge: Be able to speak intelligently (high-level) about our services—from Botox and PRP to Medical Weight Loss—to answer basic questions and spark interest in cross-promotion.
- Lobby Management: Ensure the reception area and retail shelves are always pristine, organized, and photo-ready.

- Tech Savviness: Proficient in Microsoft Office and comfortable learning Electronic Medical Records (EMR) and scheduling software quickly.

Qualifications
- Experience: 2+ years in a high-touch customer service role (Medical Spa, Dermatology, Plastic Surgery, Luxury Hotel, or High-End Retail preferred).
- Education: Associate’s degree required; Bachelor’s degree preferred.
- Availability: Must be able to work full-time in-person at our Princeton location.
