Front Desk Coordinator

Location: San Antonio, TX

Hourly Rate:$18.00 – $20.00

Maxim Healthcare is seeking a Front Desk Coordinator to manage front desk operations, provide exceptional customer service, and support clinical staff with administrative and scheduling tasks. Key Responsibilities

  • Provide excellent customer service and manage front desk operations
  • Assist candidates through application, hiring, and onboarding processes
  • Support billing, payroll, and medical records functions
  • Connect with active staff to confirm shift placements and maintain relationships
  • Build relationships with clients and staff to understand scheduling needs
  • Record caregiver correspondence and maintain accurate schedules in the system of record
  • Ensure compliance with contract and eligibility requirements for all placements
  • Meet company KPIs to increase care hours and coverage percentages
  • Attend patient meetings and admissions as needed
  • Collaborate with leadership and clinical teams to address staffing shortages and client satisfaction
  • Handle scheduling grievances promptly and professionally
  • Complete weekly reconciliation of missed hours for clinic leadership
  • Assist with opening, closing, and maintenance functions of the clinic
  • Perform general office administrative tasks (ordering supplies, answering calls, photocopying, fax management)
  • Maintain confidentiality of all client, patient, caregiver, and team member information

Qualifications

  • High school diploma or equivalent required
  • Minimum 1 year of administrative experience, including typing skills
  • Minimum 1 year of experience in a fast-paced team environment
  • Behavioral health or Applied Behavior Analysis experience preferred
  • Meets all federal, state, and local requirements
  • Proficiency in Microsoft Office Suite, internet, and email
  • Excellent communication, organizational, and problem-solving skills
  • Ability to work independently and multitask effectively
  • Energetic, self-motivated, and adaptable in a dynamic environment
  • Active CPR & First Aid certification required
  • Fluency in English required
