OVERVIEW:
The Front Desk Coordinator is responsible for overseeing front office reception and administrative operations to ensure efficient daily workflow and a professional, welcoming environment. This role serves as the first point of contact for visitors, staff, and external partners by providing exceptional customer service, managing communications, coordinating office logistics, and supporting daily administrative operations

KEY RESPONSIBILITIES:
Reception & Front Desk Operations
- Answer and route incoming calls through the central telephone system.
- Greet visitors, staff, and guests in a professional and welcoming manner.
- Respond to inquiries in person and by phone and direct individuals to the appropriate staff or department.
- Maintain a clean, organized, and professional reception area.
Mail, Deliveries & Office Support
- Receive, sort, distribute, and prepare incoming and outgoing mail, packages, and deliveries.
- Secure, log, and distribute vendor checks and sensitive deliveries as needed.
- Maintain office supplies, forms, directories, logs, and other administrative materials.
- Operate office equipment including phones, printers, scanners, and copiers.
Scheduling & Facilities Coordination
- Coordinate meeting room reservations, equipment usage, and vehicle scheduling.
- Manage meeting room access and key distribution.
- Assist visitors and staff with facility access and navigation.
- Support meeting setup and general office logistics.
Administrative & Operational Support
- Manage staff and visitor check-in systems.
- Distribute office equipment and supplies to staff as needed.
- Coordinate general administrative activities for the front office.
- Assist with special projects and additional administrative duties as assigned.
Communication & Professionalism
- Support effective communication across departments and with external visitors.
- Maintain accurate records, logs, and administrative documentation.
- Handle sensitive information with professionalism and confidentiality.
- Contribute to a positive, organized, and customer-focused office environment.
REQUIRED QUALIFICATIONS:
- High school diploma or GED required; additional coursework or training in office administration or business practices preferred.
- Minimum of 3–5 years of progressively responsible experience in a front desk, reception, or administrative support role, or an equivalent combination of education and experience.
- Proficiency with Google Workspace, including Gmail, Google Calendar, Google Docs, and Google Sheets.
- Experience working with multi-line or IP phone systems; familiarity with Grandstream systems preferred.
- Experience using office printers/copiers and related equipment; familiarity with Lexmark All-In-One printers preferred.
- Strong organizational, communication, and customer service skills.
- Ability to maintain confidentiality and professionalism in a fast-paced environment.
PREFERRED QUALIFICATIONS:
- Associate’s or Bachelor’s degree in Business Administration, Office Administration, Communications, or a related field.
- Bilingual or multilingual communication skills preferred.
- Experience working in a nonprofit, healthcare, social services, or community-based organization.
PHYSICAL REQUIREMENTS AND WORK ENVIRONMENT:
- Ability to sit or stand for extended periods of time.
- Ability to work at a computer for prolonged periods throughout the workday.
- Ability to occasionally lift and move items weighing up to 50 pounds.
- May require occasional evening or weekend support for events.
