Role Summary

We are seeking a polished, articulate, and highly organized Front Desk Concierge to serve as the first point of contact for our exclusive membership base and clinical patients. In this role, you are the gatekeeper and the face of the brand. You will oversee front desk operations, manage patient intake, and ensure efficient day-to-day administrative functions. The ideal candidate has experience in luxury hospitality, high-end fitness, and/or a boutique medical/physical therapy clinic.

Key Responsibilities

  • White-Glove Hospitality: Greet members and physical therapy clients by name with a warm, professional, and discreet demeanor. Oversee the patient intake process to ensure a seamless and welcoming experience for all clients.
  • Front Desk & Schedule Management: Coordinate a dynamic daily schedule across multiple disciplines, including personal training, recovery room bookings (sauna/steam, cold plunge & sensory deprivation room), and physical therapy appointments.
  • EMR Management & Clinical Coordination: Accurately maintain client profiles within our Electronic Medical Record (EMR) ‘Prompt’ system. Ensure all medical intake forms, insurance verifications (if applicable), and questionnaires are completed prior to clinical therapies.
  • Compliance & Privacy: Strictly adhere to HIPAA regulations, ensuring all medical data, treatment protocols, and client communications remain completely confidential and secure.
  • Membership & Waitlist Management: Field inquiries regarding our exclusive 150-person membership cap. Assist management with the waitlist intake process while simultaneously managing clinical patient onboarding.
  • Communication Hub: Professionally handle all incoming calls and emails, directing inquiries to the appropriate fitness, recovery, or clinical/PT staff.
  • Facility Excellence: Maintain the immaculate appearance of the reception, lounge, and recovery areas to luxury standards.

Qualifications & Experience:

Previous experience in a medical/physical therapy front desk, luxury hospitality, or a high-end health club is strongly preferred.

Prior experience using EMR/EHR systems (such as Prompt, Nextech, Athenahealth, Jane, WebPT, or similar) is required.

Solid understanding of HIPAA guidelines and the handling of sensitive Protected Health Information (PHI).

Exceptional verbal and written communication skills with a sophisticated, professional vocabulary.

High emotional intelligence (EQ) with the ability to read the room and interact with an elite clientele and recovering patients comfortably and confidently.

Strong organizational multitasking skills; able to manage complex scheduling software seamlessly across fitness and clinical services. Collecting and processing payments with affilated pathernships.

Compensation & Benefits

Pay: $35.00 – $45.00 per hour (Pay raises available based on experience and performance).
