Duties

  • Greet visitors, clients, and staff with enthusiasm and professionalism, ensuring a warm and welcoming atmosphere
  • Answer multi-line phone systems efficiently, directing calls accurately and courteously using proper phone etiquette
  • Manage appointment scheduling and calendar management using productivity software such as Microsoft Office and Google Workspace
  • Perform data entry tasks with high accuracy, maintaining organized filing systems both physically and digitally
  • Handle clerical responsibilities including proofreading documents, filing paperwork, and managing correspondence
  • Support office management tasks such as inventory tracking, supply ordering, and basic bookkeeping using QuickBooks or similar software
  • Provide customer support by addressing inquiries promptly and professionally, ensuring excellent service at all times

Qualifications

  • Proven experience in office management or administrative roles with strong clerical experience
  • Excellent computer skills including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools
  • Familiarity with QuickBooks for bookkeeping and financial record-keeping is preferred
  • Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Exceptional customer service skills combined with professional phone etiquette on multi-line systems
  • Bilingual abilities are a plus to assist diverse client needs effectively
  • Previous experience as a front desk or medical/dental receptionist is advantageous but not required; training will be provided for specific industry needs
  • Demonstrated technical proficiency in office equipment and productivity software; ability to proofread documents accurately
  • Personal assistant experience or medical receptionist background is beneficial for understanding specialized workflows
