Front Desk and Operations Coordinator | Physical Therapy Clinic | Part-Time, Path to Full-Time

$21-$26/hr depending on experience | 3 days/week | San Diego, CA

THE OPPORTUNITY

We are not looking for someone to answer phones and file papers. We are looking for the person who walks into a room and makes it run better.

Audia Physical Therapy is a growing neurological physical therapy practice in San Diego. We specialize in helping stroke survivors and people with neurological conditions regain confident movement, and we do it without the red tape of insurance-driven care. Every patient we see gets our full attention, our best thinking, and our genuine commitment to their goals.

As we grow, we need someone to keep the operation tight so our clinicians can stay focused on patient care. This starts as a 3-day-per-week role with a clear path to full-time as the practice grows.

WHAT YOU WILL DO

  • Own the front desk: phones, scheduling, and first impressions
  • Manage patient scheduling in PT Everywhere (our practice management software)
  • Handle patient communication: confirmations, follow-ups, and new patient welcome outreach
  • Open and close the clinic per established protocols when applicable
  • Keep Dr. Audia organized: email, calendar, project tracking, and priorities
  • Maintain the physical clinic: clean, stocked, and patient-ready at all times
  • Track key performance indicators and report weekly
  • Support marketing and referral outreach as the role grows
  • Filming educational videos, social media content, and content for our online balance program – Audia Movement Systems
  • Learn and use Go High Level for lead management

THE MUST-HAVES

  • TECH-FORWARD – You are comfortable with technology and genuinely excited to use AI tools to work smarter. You pick up new software quickly and look for ways to improve how things are done.
  • A COMMUNICATOR – Your written and verbal communication is clear, warm, and professional. People feel taken care of when they talk to you. You show up reliably, every time.
  • A PEOPLE PERSON – You genuinely love interacting with people. Our patients are going through hard things. Your warmth, professionalism, and empathy matter as much as anything else in this role.

QUALIFICATIONS

Required:

  • 1-2 years of experience in an administrative, medical office, or customer-facing role
  • Comfortable with Google Workspace and scheduling software
  • Reliable transportation (this is an in-person role and punctuality is non-negotiable)
  • Excellent written and verbal communication skills
  • Willingness to learn and use AI tools on the job

Preferred:

  • Experience in a healthcare or physical therapy setting
  • Familiarity with practice management software (PT Everywhere and Go High Level is a plus)
  • Experience supporting an executive or business owner directly

COMPENSATION AND DETAILS

  • Pay: $21-$26/hour depending on experience
  • Schedule: 3 days per week, with a clear path to full-time
  • Training: Paid from your first hour
  • Sick Leave: California paid sick leave per state law
