We are seeking an energetic and detail-oriented Front Desk Agent to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and ensure smooth administrative workflows. Responsibilities

  • Greet visitors and clients warmly, ensuring a positive first impression at all times
  • Answer multi-line phone systems promptly and professionally, directing calls accurately
  • Manage appointment scheduling and calendar coordination using tools like Google Workspace or Microsoft Office
  • Handle data entry, filing, and document proofreading to maintain organized records
  • Assist with office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
  • Provide customer support by addressing inquiries via phone, email, or in person with excellent phone etiquette
  • Support administrative functions including typing correspondence, managing office emails, and supporting clerical duties with high accuracy and attention to detail

Experience

  • Prior office experience or clerical experience demonstrating strong organizational skills and familiarity with office procedures
  • Proven customer service background with excellent communication skills in a fast-paced environment
  • Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and data entry tools
  • Experience operating multi-line phone systems and managing front desk responsibilities efficiently
  • Bilingual abilities are highly desirable to assist diverse client needs effectively
  • Knowledge of medical or dental receptionist duties is a plus but not required; relevant personal assistant experience is advantageous
  • Demonstrated ability to manage time effectively while handling multiple tasks simultaneously
