Position Details

Zeeland Public Schools has an exciting opportunity for a Food Service Administrative Assistant to join our Food Service Team. The Food Service Administrative Assistant serves as the operational and financial backbone of the Food Service Department. This role provides bookkeeping, procurement, and ensures full compliance with district, state, and federal regulations.

Responsibilities:

  • Perform clerical duties including answering phones, word processing, copying of monthly menus and filing.
  • Lead the preparation of all state reports pertaining to nutrition programs and reimbursement claims for the Director to review.
  • Maintain HACCP control systems, professional development hours and any other records per Director.
  • Record meeting minutes and track maintenance work orders for kitchen equipment.
  • Ring in sales for ECC, CBI, sack lunches, and BCS as backup.
  • Responsible for accounts payable and PO requisitions.
  • Place online orders for office supplies.
  • Maintain POS programs, daily transactions, and daily and monthly reporting. Troubleshoot any errors or problems in the POS Program and point of sales.
  • Process and maintain districtwide free and reduced lunch applications list and import direct certification monthly.
  • Process invoices for catering, GSRP, Headstart, Z-Kids, and BCS in Tyler.
  • Check weekly orders against invoices and pay bills.
  • Help in kitchen and on computers in emergency situations.
  • Perform verification of free and reduced applications.
  • Process and submit Gordon Food Service receipts to Administration Business Office.
  • Enter cash receipts and credit card summaries into Tyler.
  • Maintain website (menus, snow day notifications, posting breakfast and lunch times).
  • Process refund requests from parents and NSF check notifications.
  • Assist in the onboarding of new employees, email, POS login, employee manual, and POS training.
  • Qualifications:

  • Associates degree in accounting preferred, or high school diploma with additional training or related work experience.
  • Strong computer skills (Word, Excel, Google Applications, and ability to be proficient in POS Program and other software) is required.
  • Must have excellent communication skills (positive, pleasant and interacts effectively with public) and the ability to handle confidential and sensitive information.
  • Broad knowledge of school district organizations, policies, and procedures and state/federal food service regulations.
  • Strong oral and written communication, interpersonal, and organization skills is required.
  • Ability to pay attention to detail, prioritize, work independently and cooperatively as well as schedule and produce work in a timely manner. Ability to work effectively in an environment where interruptions occur constantly.
  • Working knowledge of food service operations and basic kitchen tasks.
  • Accept continuous training and education.
  • Ability to handle and work with confidential information and situations.
  • Schedule:
    School calendar plus 8 weeks

    Compensation:
    Level III-Range is $16.66 – $19.49
