This Isn’t a Typical Front Desk Job
When someone calls our clinic, they’re often at the end of their rope.
They’ve tried everything for their child’s ADHD, their own anxiety, their parent’s declining memory. Medications aren’t working. Therapy hasn’t helped. They’re desperate.
You will be the first person they talk to.
Your voice, your calm, your ability to listen and guide them through what we do – that’s what turns a panicked phone call into a scheduled consultation. That’s what gives someone hope for the first time in months.
This role is part administrator, part counselor, part air traffic controller. On any given day, you’ll:
- Guide a worried mother through booking an appointment to try to get help for her struggling teenager
- Warmly greet 20-30 clients coming through for neurofeedback sessions
- Juggle a complex schedule of multi-service appointments across 5 treatment rooms
- Handle payments with grace (we don’t bill insurance – you’ll explain pricing clearly and compassionately)
- Keep both digital systems and paper files organized in a fast-paced environment
- Be the glue that holds the front office together
Why This Role Exists Right Now
Our front desk coordinator is on medical leave. She’s been with us for years and is beloved by every client who walks through our door.
She’s irreplaceable as a person – but we need someone to hold down the fort.
This role may be temporary or could become permanent depending on circumstances and fit. Either way, we need someone who can step into a critical role and make it their own.

The Practical Stuff
Schedule:
Monday–Thursday, 9:00 AM – 530 or 6:00 PM
(Future: Optional Friday 11:00 AM – 5:00 PM)
What You’ll Actually Do:
Client Interaction (50% of your day):
- Answer calls with patience and warmth
- Guide callers through what we offer
- Help book consultations
- Check clients in/out with genuine interest in their progress
- Collect payments and explain pricing clearly
Scheduling & Coordination (30% of your day):
- Manage real-time schedule across 4 treatment rooms
- Coordinate multi-service appointments (some clients need 2-3 services in one visit)
- Prevent double-booking and keep the day flowing smoothly
- Note: Our current scheduling system is clunky – we’re upgrading in 60 days to something much better
Administrative Tasks (20% of your day):
- Maintain paper client files (yes, we still use some paper)
- Process payments and provide receipts
- Light office tasks
What We’re Looking For
Must-Haves:
- Previous experience in a people-facing role (examples: medical office, hospitality, education, social services)
- Genuine warmth and ability to make people feel heard
- Organizational skills and ability to juggle multiple tasks
- Comfort with both digital systems and paper processes (we’re transitioning but not there yet)
- Calm under pressure – our busiest days can feel like controlled chaos
Bonus Points:
- Personal interest in holistic health, brain-based therapies, or alternative wellness
- Experience helping people through difficult life situations (counseling, nursing, teaching, ministry)
- Tech-comfortable but not tech-dependent (you can learn new systems but don’t panic if something’s on paper)

Compensation & Growth
· Hourly Rate: $24-28/hour based on experience, with opportunity to grow based on performance. (We value skill and compassion over credentials)
