The Financial Systems Administrative Coordinator is responsible for providing administrative services to the Audit Committee and Internal Audit teams to increase efficiencies and promote the timely completion of departmental responsibilities. The position will also assist in administering training and policies and procedures documentation for Enterprise Financial Systems at Clayton Homes.

Job Functions:

Develop a thorough understanding of the requirements of the Global Internal Audit Standards and conduct self-assessed gap analysis. With management assistance, create detailed implementation plans, assign tasks, and oversee project execution to ensure full adoption of the standards by June 30, 2025.

Create and update process documents, templates, policies, and procedures related to the Audit Committee, VP of Internal Audit, and Senior Management responsibilities under the Global Internal Audit Standard.

Manage stakeholder communication:
Regularly communicate with the Audit Committee, VP of Internal Audit, and Internal Audit Management to manage expectations and address concerns.

Monitor progress:
Track project milestones, identify risks, and implement corrective actions as needed.

Create and maintain meeting minutes to document performance of functions listed in the Global Internal Audit Standards.

Maintain a master schedule of responsibilities related to standards, coordinating timing for completion and review activities enterprise-wide to ensure timeliness.

Attend Audit Committee meetings and take minutes to evidence compliance with the standards.

Perform editorial reviews of work products for grammar, tone, and audience appropriateness.

Coordinate survey creation, distribution, and analysis, following up to ensure timely completion and trend identification.

Assist in updating and communicating ERP policies and procedures.

Develop communication and training materials for ERP and other enterprise financial systems (Oracle, Kyriba, Mortgage Cadence, etc.).
