Position Overview
Under the direction and supervision of the Financial Specialist, the Financial Specialist Assistant helps ensure the successful and timely completion of payroll processing, personnel functions, receptionist duties, and general business office operations.
This role works closely with leadership, HR, and accounting to support compliance, accuracy, and smooth daily operations.
Qualifications
Education & Experience
- Business-related Associate’s Degree preferred (or 3–5 years of experience in lieu of degree)
3–5 years of accounting and/or payroll experience required
High School Diploma or equivalent required
Required Skills
- Knowledge of payroll systems, bookkeeping, and general accounting principles
- Strong numerical, analytical, and problem-solving skills
- Knowledge of federal and state payroll regulations
- Ability to work under pressure while maintaining accuracy and professionalism
- Strong communication and interpersonal skills
- Ability to interact professionally with employees, visitors, and leadership
- Must be able to perform essential job functions and meet physical and sensory requirements
Administrative Duties
- Assist the Financial Specialist with daily financial and business office operations
- Participate in developing and implementing improvement plans when needed
- Answer phones professionally and assist with clerical duties (filing, typing, copying)
- Greet visitors and direct them appropriately
- Serve as liaison between employees and HR, Benefits, and Accounting departments
- Maintain strict confidentiality of employee and business records
Payroll Duties
- Collect, calculate, and enter payroll data accurately
- Address payroll-related inquiries while maintaining employee confidentiality
- Process payroll in accordance with policies and approval procedures
- Ensure compliance with payroll regulations and internal policies
Applicant / New Hire / Onboarding Duties
- Guide walk-in applicants to the facility career website
- Assist with screening applicants and coordinating onboarding
- Conduct background checks, drug screenings, abuse registry checks, and OIG checks
- Facilitate the Work Opportunity Tax Credit (WOTC) process for new hires
- Enter new employee information into payroll systems
- Complete I-9 and E-Verify documentation
- Distribute benefits packets to eligible employees
- Train employees on time clock usage and assist with payroll troubleshooting
Human Resources Duties
- Maintain personnel files securely in locked cabinets
- Handle payroll, benefits, and HR-related employee questions
- Conduct and track employee exit interviews
- Process wage and employment verification requests
- ️ Workers’ Compensation, OSHA & Leave Management
- Complete workers’ compensation reports and submit to appropriate agencies
- Maintain the OSHA Job Injury Log
- Track employee leave and coordinate leave management with department managers and administration
- Monitor transitional or light-duty assignments according to HR policies
