Job Summary:

The Finance Department Administrative Assistant provides administrative and clerical support to the finance team to ensure efficient operation of the department. This role involves handling a variety of administrative tasks, supporting finance operations, and assisting with documentation, scheduling, communication, and data entry.


Key Responsibilities:

  • Provide general administrative support to the Finance Department.
  • Maintain and organize financial records, files, and documentation (both electronic and hard copy).
  • Assist with invoice processing, check processing and client payments.
  • Maintain confidentiality of financial and sensitive information.
  • Communicate effectively with internal departments and external vendors.
  • Perform data entry and updates in financial systems or accounting software.
  • Process department related incoming and outgoing mail.
  • Assist with payroll tasks for sales staff


Qualifications:

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
  • 2+ years of administrative experience, preferably in a finance or accounting environment.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite (especially Excel, Word, Outlook).
  • Familiarity with financial systems (e.g., QuickBooks) is a plus.
  • Excellent communication and interpersonal skills.
  • Ability to handle confidential information with discretion.
  • Strong time management skills and ability to prioritize tasks.
