Schedule: 36.5–40 Hours per Week

Location: Rogers, MN

Pay Rate: $18.00–$21.00/hour

Position Overview

The Vision Companies is seeking a compassionate and organized Family Intake Specialist to serve as the first point of contact for individuals and families seeking support services in the Rogers area. This position plays a critical role in creating a welcoming environment, assisting with the intake process, coordinating appointments, managing front desk operations, and providing administrative support.

Fluency in both English and Spanish is required for this position. The ideal candidate will possess strong communication skills, excellent attention to detail, and a passion for helping individuals from diverse backgrounds access the resources and services they need.

Key Responsibilities:
Family Intake & Client Support

  • Greet families and individuals upon arrival and assess immediate needs
  • Direct clients to the appropriate Family Advocate or program area
  • Assist clients with intake forms and required documentation
  • Provide information regarding available services and eligibility requirements
  • Schedule appointments and support the intake process
  • Ensure an orderly flow of clients throughout the facility

Volunteer Coordination

  • Train and schedule front desk volunteers
  • Provide guidance on client check-in procedures, greeting visitors, answering phones, and clerical support
  • Assist with managing volunteer coverage and daily front desk operations

Phone & Communication Support

  • Answer incoming calls and provide information regarding programs and services
  • Route calls appropriately and respond to general inquiries
  • Update phone system messages as needed

Records Management

  • Enter and maintain client information accurately within internal software systems
  • Ensure confidentiality and compliance with data privacy requirements
  • Maintain organized and accurate records

Front Desk & Facility Presentation

  • Maintain a welcoming, clean, and organized reception area
  • Monitor waiting areas and restrooms to ensure cleanliness and adequate supplies
  • Create a positive first impression for all visitors

Resource Distribution & Administrative Support

  • Distribute information regarding community resources and available services
  • Collaborate with Family Advocates and volunteers to connect clients with appropriate resources
  • Provide administrative support to leadership and operations staff as needed

Qualifications:
Required

  • Fluent in both English and Spanish (required)
  • High school diploma or GED
  • Strong interpersonal and communication skills
  • Excellent organizational skills and attention to detail
  • Ability to maintain confidentiality and professionalism when handling sensitive information
  • Computer proficiency, including Microsoft Office Suite
  • Ability to interact effectively with individuals from diverse backgrounds
  • Valid driver’s license and reliable transportation

Preferred

  • Associate degree in Social Services, Human Services, Customer Service, or a related field
  • Previous experience in customer service, administrative support, nonprofit, or social service environments
  • Knowledge of community resources and social service programs

Physical Requirements:

  • Frequent standing, walking, sitting, reaching, and use of hands for office tasks
  • Ability to effectively communicate in person and over the phone
  • Occasional lifting and moving of items up to 10 pounds
  • Ability to maintain focus and attention to detail throughout the workday
  • Specific vision abilities include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus
  • Valid driver’s license and ability to operate a motor vehicle required
