Position Summary:
As a member of the (Facilities/IT Services Team) you will join an incredibly talented and hardworking (support) department dedicated to (providing comprehensive services to over 60 facilities) to advance BakerRipley’s impact in the Houston region. The Facilities Management Department is committed to providing a quality and safe environment for our customers, employees and visitors and demonstrating stewardship of the physical assets of the Agency. Our mission is to anticipate and provide the physical environment which enables the Agency to achieve its objectives in bringing resources, education, and connection to under-served communities.
Success in the roles includes:
- Professional Service: Provide a higher level of professional service to achieve positive encounters and outcome.
- Information and Guidance: Serve as a knowledgeable resource for building information, including directions, amenities, and building policies.
- Issue Resolution: Address and resolve building-related concerns, complaints, and questions from stakeholders.
- Building Maintenance and Audits: Assist with building maintenance audits and document data.
- Education and Training: Educate stakeholders on building equipment, procedures, and workplace etiquette.
- Meeting Room Management: Manage meeting room reservations and ensure spaces are properly set up.
- Customer Service: Provide exceptional customer service to internal and external clients.
- Support:
- Provides a variety of clerical duties and other assistance as needed.
- Assist with projects and activities as assigned by the Facilities Management team.
- Confer with customers or supervising personnel to address questions, problems, and requests for copier and mail service or equipment.
- Provides backup phone support for the Facilities Services Receptionist
- Other duties may be assigned at the discretion of management.
- Data collection and entry for utility payments (agency-wide facilities), facility vendor invoices, operation permits, furniture inventory, and contract procurement documents.
- Provide support for supply inventory supplies.
MINIMUM EDUCATION: : High school graduate or equivalent (some college preferred)
Experience as a clerk in a front office environment.
Experience in a mailroom environment.
Must have a clean driving record.
YEARS OF EXPERIENCE: 2-4 in related work experience; Vendor relationship.
CERTIFICATIONS, LICENSES, REGISTRATIONS: Valid Texas Drivers Licenses- Ability to handle multiple tasks, meet deadlines, work under pressure and maintain confidentiality in regards to all company operations.
- Must be bilingual with an excellent command of English and Spanish
- Excellent interpersonal skills; ability to organize and prioritize. Intermediate computer skills. (MS Office)
- Ability to operate various office equipment
COMPUTER/ SYSTEMS/ SOFTWARE PROFICIENCY: Proficient use of Microsoft Office (Word, Excel, PowerPoint), basic use of Google Docs and Smartsheet software programs.
LANGUAGE REQUIRED (Other than English): Spanish
