Role Description

Wejhat is seeking an experienced full-time Executive Secretary for an on-site role located in Jeddah. To provide administrative and organizational support to departments and management, ensuring efficient daily office operations through organizing correspondence, files, meetings, and following up on administrative processes.

Duties and Responsibilities

•Organize and manage administrative files and records in both physical and electronic formats.

•Prepare and draft official letters, administrative correspondence, and internal circulars.

•Receive phone calls and direct them to the relevant departments.

•Coordinate and schedule meetings and prepare meeting minutes when required.

•Follow up on incoming and outgoing correspondence and ensure proper archiving.

•Enter data and update departmental databases.

•Track administrative transactions between departments and ensure timely completion.

•Receive visitors and coordinate appointments with the relevant departments.

•Prepare periodic administrative reports upon request.

•Provide administrative and office support to different departments as needed.

Qualifications

  • Proficient in clerical skills, including scheduling, filing, and managing documentation
  • Exceptional written and verbal communication skills, with a professional demeanor
  • Experience in company secretarial work and executive-level administrative support
  • Strong customer service abilities and a client-centric approach to interactions
  • Highly organized with excellent attention to detail and time management skills
  • Proficiency in office software applications, such as Microsoft Office suite
  • Ability to maintain confidentiality and exercise discretion in all actions
  • Bachelor’s degree in Business Administration, Communications, or a related field is preferred
  • Previous experience in a hospitality or real estate environment is an advantage
