1- Role Purpose:
The role holder is responsible for performing a variety of secretarial and administrative duties for the senior leadership of the program. The role holder provides support as required on different clerical and administrative matters.
2-Key Activities:
Core Responsibilities
▪ Reviews internal documentation to brief leadership on expected variances and pressing issues, determining levels of urgency and the most appropriate timing of interventions accordingly.
▪ Schedules meetings and prioritizes activities for the Program Director and his direct reports
▪ Manages and maintains an accurate workable calendar and schedule for the Program Director and his direct reports.
▪ Establishes and maintains filing systems for leadership documents, correspondence, reports or other material to ensure effective management of the leadership’s interactions.
▪ Manages Board, committees, and other activities and related documents with utmost confidentiality to avoid leakage of strategic information.
▪ Coordinates the signature of contracts and other official documents with program employees to ensure the program’s adherence to expected and stipulated timelines.
▪ Manages and coordinates special activities and events, including bookings, and ensures the readiness of facilities for prepared meetings and special events.
▪ Coordinates domestic and international travel arrangements to ensure the effectiveness and appropriateness of travel expenses of leadership travels.
▪ Supports the management team in creating reports and presentations as and when required
▪ Prepares minutes for management and business development meetings to share key insights required.
▪ Manages the office letterhead and other official correspondence to ensure its correct usage
▪ Contributes to the preparation of timely and accurate documents and reports (e.g. annual budgets) to meet divisional and departmental requirements, policies and standards.
3- Education:
▪ Diploma or undergraduate degree is preferred.
4- Experience:
▪ 2 – 6 years’ experience in a similar role, preferably in a similar government entity/program
