Role Overview

We are seeking a highly organized, proactive, and discreet Executive & Personal Operations Assistant to support a fast-scaling founder managing multiple businesses and a growing family life.

This role ensures that nothing slips — professionally or personally.

You will act as a gatekeeper, organizer, scheduler, and execution partner. The objective is simple: increase the founder’s focus, velocity, and clarity by eliminating operational friction.

This is a high-trust, high-responsibility role.

Core Responsibilities1. Executive Support (Business)

  • Manage and optimize calendar (protect deep work time)
  • Triage inbox and prioritize communications
  • Draft, format, and finalize documents and proposals
  • Coordinate meetings and follow-ups
  • Track open loops and ensure nothing falls through
  • Conduct light research (vendors, travel, tools, etc.)
  • Filter inbound requests and act as gatekeeper
  • Prepare summaries before key meetings
  • Organize digital files and documents

2. Personal Operations Support

  • Manage bill payments and renewal tracking
  • Maintain master personal + family calendar
  • Coordinate children’s schedules, appointments, events
  • Book travel (flights, hotels, transfers)
  • Schedule personal appointments
  • Track subscriptions and household services
  • Manage reminders for important dates and obligations
  • Assist with general life organization and planning

3. Control Tower Function

  • Maintain a running task dashboard
  • Proactively flag upcoming deadlines
  • Identify inefficiencies and suggest improvements
  • Ensure no administrative detail is missed
  • Reduce reactive chaos

Ideal Candidate Profile

  • Extremely organized and detail-oriented
  • Proactive (anticipates needs before being told)
  • Strong written communication skills
  • Tech-savvy (Google Workspace, task management tools, etc.)
  • Discreet and trustworthy
  • Comfortable acting as a gatekeeper
  • Calm under pressure
  • High ownership mentality
  • Able to manage both professional and personal domains seamlessly

Experience

  • 2–5+ years supporting an executive, founder, or senior leader preferred
  • Experience in fast-paced environments
  • Experience managing personal admin is a strong asset
  • Remote support experience is a plus

Reports directly to the Founder/CEO.
